The role of the Administrative Assistant is to provide high-level administrative support to the Global Director of Business Development in support of efficiently accomplishing key tasks and company initiatives. You will keep departmental communications organized so the Director has access to important information without having to sort through low-priority items. This role will be a point of internal customer service, supporting both the marketing and business development teams. Daily tasks may include managing the Director’s calendar, scheduling meetings, confirming appointments, running reports, and coordinating with various interdepartmental departments on behalf of the Director. This administrative role also helps support and develop departmental policies and best practices. Work is primarily achieved by individual, but often require company-wide collaboration. Works independently with discretion and good judgment.

**ESSENTIAL RESPONSIBILITIES**:

- Weekly and monthly reporting responsibilities including Star’s Marketing update, Empower Report, Market Report, Expense reports, leads report and other reports as needed using Salesforce, Power Bi and other tools.
- Supporting travel arrangements and expenses for the Global BD Director.
- Supporting Global BD Director’s calendar and meeting scheduling.
- Assist the Director in preparing department documents including, but not limited to, strategic plans, budget planning, new program development, and department initiatives.
- Support the Director in preparing weekly agenda for department meetings and record minutes of meetings for distribution.
- Budget Management: maintain marketing worksheet, review and monitor annual budget. Help consolidate marketing budget on a monthly basis.
- Advise departments area of budget shortfalls and verify budget change requests as needed.
- Maintain audit-ready records and support reconciliation of business credit cards, invoices, and misc. departmental transactions.
- Order all marketing and partner supply needs (Box Promo, Product labels and leaflets, gift cards, plaques and awards for partners, etc.)
- Work with Inside Sales to support incoming leads when needed.
- Adheres to and upholds all Star Micronics LTD policies.
- Other duties as needed

**SKILLS**:

- Effective written and oral communication skills.
- Proficient with Internet and SaaS software.
- Strong research skills.
- Strong organizational skills with a talent for prioritization, follow up, and seeing tasks through to completion.

**QUALIFICATIONS**:

- 2-3 years of experience as an Executive Assistant is preferred.
- Fundamental sales and marketing concepts knowledge.

**TRAVEL REQUIREMENTS**:

Pay: $50,000.00 - $60,000.00 per year
