I. POSITION Medical Equipment and Supply Coordinator
II. PRIMARY PURPOSE
Reporting to the Director, Materials Management the Medical Equipment and Supply Coordinator performs a variety of work to support the logístical operations of Boston MedFlight. The Primary Responsibilities include the timely retrieval and return of partner pre-hospital EMS Agencies’ equipment. Secondarily, the Medical Equipment and Supply Coordinator supports the medical equipment and supply logistic needs of Boston MedFlight. This position is part-time, and hours should not exceed 36 hours per week without manager approval.
III. ESSENTIAL DUTIES
- Visit various receiving hospitals and their departments to retrieve all equipment.
- Clean and arrange the return of the pre-hospital equipment belonging to the agencies that utilize BMF.
- Maintain and monitor the tracking system of all pre-hospital equipment that is picked up, cleaned and returned, including documentation as to the status of such equipment return.
- Communicate with pre-hospital agencies seeking information about their equipment disposition.
- Retrieve outside hospital equipment that was brought with patients to receiving hospitals and returns to originating facility.
- Under strict guidelines developed by collaborative effort between Boston MedFlight, Boston Medical Center and the Department of Public Health (FDA), transport controlled substances between the BMC Pharmacy and BMF bases on a weekly basis.
- On a monthly basis, return all outdated Controlled Substances from Boston MedFlight locations to Boston Medical Center Pharmacy.
- On a weekly basis, transport weekly base supply orders to respective bases. This is typically conducted in conjunction with the weekly controlled substance order from Boston Medical Center Pharmacy.
- Promote BMF by maintaining favorable relationships with consortium hospital personnel and pre-hospital personnel.
- Routinely check, inspect, clean and restock Rooftop Helipad Supply Lockers at Boston MedFlight Consortium Hospitals.
- Work in conjunction with Boston MedFlight Medical Equipment Specialist to assist with the movement of various medical equipment and devices between Boston MedFlight locations and various contracted vendor repair locations.
- Works in conjunction with various members of BMF Operational Leadership to retrieve Boston MedFlight Equipment that has been left by crews at various facilities.
- Other duties as assigned and approved by supervisor.
- Maintain complete confidentiality on all patient missions, patient demographics, and patient follow-up.
- Maintains positive communication (written and spoken), effectively while interfacing with fellow employees, patients, referring hospitals, and the community at large.
IV. POTENTIAL DUTIES
- Computer data entry
- Assigned administrative duties.
- Complete assigned errands.
- Unrestricted travel between BMF bases, Boston and surrounding communities.
V. MINIMUM QUALIFICATIONS
- Licensed Massachusetts driver in good standing with the Dept. of Motor Vehicles.
- Working knowledge of pre-hospital equipment, safety standards and universal precautions.
- Must be able to read, speak, write and comprehend the English language without restriction.
- Favorable criminal background check
- EMT certification preferred.
VI. PHYSICAL EXAM
- Must have tetanus and hepatitis immunizations up to date as well as flu and COVID vaccines
- Subject to random drug screens
- Must be able to lift 50 pounds unassisted and 175 pounds between two people.
VII. NOTES
- An FBI background check will be performed prior to employment.
