Office Administrator, In-person

**The Office Administrator is responsible for daily management of the main office, providing excellent administrative support, and nurturing a healthy, welcoming work environment.**
**DUTIES AND RESPONSIBILITIES**
- **Procure general office and staff supplies**
- **Manage vendor relationships and contracts as pertains to the central office location (e.g. janitorial services, pest control, phone/internet, copier, postage meter, etc.)**
- **Serve as primary contact for all IT issues**
- **Manage company login credentials**
- **Assist in cybersecurity training and initiatives in collaboration with Operations**
- **Outfit new employees with all necessary equipment including laptop, monitor, technical software/hardware, name tags, business cards, and apparel as applicable**
- **Manage all-staff communications including listserv maintenance, Zoom administration, meeting reminders, etc.**
- **Support office volunteers as needed and perform front desk/reception when there are gaps in the volunteer schedule**
- **Act as liaison to the Board of Directors including preparation of meeting packets, taking minutes at all Board and Executive Committee meetings, handling all Board communications, organizing all meetings, and providing support for special events, retreats and requests as needed**
- **Provide support for meetings and events including planning and logistics such as the booking of conference room or venue space, provision of food/refreshments, and communication with external parties**
- **Collect and process incoming mail in collaboration with the Finance Department**
- **Provide support with outbound mail including letter writing, arranging parcel pickups, etc.**
- **Ensure a tidy, clean and professional office environment**
- **Provide administrative support to the CEO and other executive staff
