The Need

For 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence by 2030, we are seeking an Administrative Coordinator, Global Resources to provide administrative support to the Chief Resources Officer and the Global Vice President of Marketing and Communications and administrative coordination for Global Resources projects.

**Responsibilities**:
Communication-
- Ensure communication of relevant information to all members of the Global Resources Division to ensure unified coordination regarding department and organization retreats, processes, and special projects.

Events and Logistics- Coordinate all team events, meetings and retreats; helping to develop agendas, book activities and meals and coordinate logistics for travel, meeting space and overall event execution.

Clerical and Administration- Manage calendars and determine priorities through scheduling appointments, coordinating meeting logistics domestically and internationally, and supporting collaborative departmental communication and priority setting.- Track all agreed upon deadlines and tasks assigned by internal and external entities to ensure cohesive and thorough response.- Manage expense reporting for the Chief Resources Officer and Global Vice President of Marketing and Communications.- Efficiently manage, revise, and maintain all of the department’s filing systems; assist with all aspects of department organization to ensure operational excellence.- Work with team leaders to prepare team meeting agendas, take notes, and follow-up on action items.- Arrange all travel and logistics for domestic and international trips, including transportation, accommodations, meals, and other logistics, for Chief Resources Officer and Global Vice President, Marketing and Communications.- Manage all processes and documentation pertaining to pre-deployment and post-deployment procedures.

General Tasks- Serve as the department’s SharePoint representative and manage permissions, ensure that the site structure is organized correctly and operating with optimal efficiency, and acquaint new department personnel with SharePoint’s functionality.- Assist with coordination/administrative support of Global Resources department initiatives, projects, and/or events.- Assist Human Resources in coordinating department onboarding of new staff and interns.- Participate in IJM’s community of spiritual formation.

Qualifications:
- Bachelor’s degree;- At least one year of experience providing administrative support in a fast-paced, professional environment;- High level of proficiency with Microsoft Office Suite, experience with Microsoft SharePoint (preferred);- Exceptional written and oral communications skill;- Experience in cross-cultural communication (preferred);- Superior and proven ability to set priorities;- Simultaneously manage a large number of projects and tasks;- Proactively and creatively solve problems; and- Consistently meet deadlines with excellence.
