The Consortium of Universities for Global Health (CUGH) is a nonprofit organization focused on expanding opportunities for academic global health programs. **Administration & Communications Coordinator**

As the Administration & Communications Coordinator, you will serve as the administrative and functional point person for CUGH. You will also support the organization’s administrative duties and responsibilities and needs for specific projects and senior staff, the Board of Directors, as well as communicate and collaborate across committees and with the membership.

Your primary responsibilities will include drafting documents such as letters, memos, newsletters and other correspondence, updates, maintaining the CUGH website, bookkeeping, and monthly reconciliations, general office management, updating CUGH digital sites (Facebook, Twitter, website, blog, etc., calendar management, scheduling meetings and handling travel arrangements including airline, hotels and expenses. As Administration & Communications Coordinator, you will report directly to CUGH’s Deputy Director.

**SPECIFIC DUTIES INCLUDE**:
**Administration, Logistics, and Communications
- 50%**
- Manage the CUGH calendars; ensure meetings are scheduled, and information is sent in a timely manner
- Manage Executive Director’s calendar, including scheduling all appointments, business trips, phone calls, etc.
- Take phone calls and receive visitors
- Ensure all office supplies are ordered and delivered on time
- Provide administrative support/backup at CUGH events
- Make travel arrangements and prepare detailed itineraries, including background documents for meetings, etc.
- Prepare summaries of action item for monthly board calls, and other general calls
- Develop of communication materials to be sent to the general membership, including CUGH bulletins, sent on a monthly basis
- Manage and use listservs to communicate to membership
- Participate in the preparation and set up of meetings with the Board of Directors and the CUGH Secretariat
- Interact regularly with contact persons for Board Members
- Act as the Secretariat Office Manager
- Briefing of new staff members, preparing briefing packs and office for new employees and board members (contact numbers, office space, IT equipment, ID cards, etc)
- Responsible for ensuring the overall functionality and maintenance of the CUGH Secretariat is well maintained
- Accurate electronic and hard copy filing
- Assist with logístical & promotional needs of CUGH workshops and webinars
- Recieve and send mail/manage the mailing system
- Other administrative tasks, as requested

**Bookkeeping and Finances
- 30%**
- Preparation of all checks and cashbooks for the Secretariat
- Deposits to bank on a weekly basis
- Maintain the accounts electronically and hard copies, filed appropriately
- Work with Deputy Director on end of month accounts for reconciliation
- Manage the financial electronic and hard files of all CUGH bookkeeping and finances
- Handle all expenses related to activities and travel for the CUGH Secretariat
- Upload all expenses and revenue in Quickbooks online
- Must be proficient in Quickbooks Online for Business

**IT & General Organization Support
- 20%**
- File and database management
- Website updating and maintenance
- Part of the social networking team (Twitter, LinkedIn, Facebook)
- Assist in the planning & execution of CUGH’s Annual conference
- Provide administrative support to committee activities as assigned
- Manage software needs of the Secretariat
- Other tasks as may be assigned

**QUALIFICATIONS**:

- Please note due to the urgency of this role, we are looking to identify someone who is available immediately. _

Pay: $65,000.00 per year
