**Position Description**

Financial Administration (FAD) is dedicated to advancing Harvard University’s teaching and research mission by stewarding its resources; providing support, guidance, and consultation; ensuring compliance with University and federal guidelines; mitigating risk; pursuing operational excellence; and promoting the financial health of the University.
- Harvard’s Office of Contracting Services (OCS) assists staff from across Harvard with contract drafting, review, negotiation, management, reporting, and more. The Contracts Administrator will support the OCS team with duties related to contract lifecycle management. The Contracts Administrator will be knowledgeable of the various processes and systems used by the OCS staff to prove contract management and contract review services. The Contracts Administrator will assist on, and in some instances take over critical administrative duties from the the Senior Contracts Administrator and Manager of Contracting Services.
- **Principal Duties and Responsibilities (Essential Functions)**:

- Perform contract lifecycle management for various agreements, including the creation of contract records in the contract management system and routing contracts for signature
- Assist Senior Contracts Administrator with maintaining contract repository and ensure searchability and consistency in how the information is entered, as well as assist Analysts with searching the repository when requested
- Assist with updating contract templates and template library when necessary
- Understand basic contract terms to accurately enter the contract in the repository
- Assist Senior Contracts Administrator with drafting periodic newsletter and enews submissions
- Assist with updating of the OCS website
- Schedule and plan team trainings as well as editing training materials
- Run and track metrics and collaborate with Director on budget
- Assist with Running CMS quarterly billing and communicate with CMS clients periodically regarding the same
- Assist with monthly reporting for CMS clients
- Schedule team meetings as requested
- Provide excellent customer service
- Other various administrative tasks as assigned

**Basic Qualifications**
- High school graduate or equivalent, preferably with business or finance training beyond high school.
- At least one year relevant experience
- Must be comfortable working independently and raising concerns or issues with staff as needed
- Quick learner, able to digest and disseminate large amounts of information
- High integrity and strong ethics
- Excellent oral and written communication
- Comfortable with and interested in working on contracts for the purchase of products or services

- Legal or paralegal experience is a plus and may offset other requirements
