**Duties & Responsibilities**:
Under supervision of Coordinating Manager/Assistant Coordinating Manager. To systematically approach patients by registering and processing patients entering the clinics and to accomplish the following:

- To help contribute towards adequate and effective continuity of patient care by providing for sustained and efficient patient flow, excellent customer service and productive utilization of clerical personnel.
- To enhance the patient experience and facilitate clinic flow.

**SUMMARY OF DUTIES AND RESPONSIBILITIES**:

- Receive and welcome patients in a courteous and respectful manner “Acknowledge, Introduce, Duration, Explanation, Thank You”.
- Ask patient for two (2-3) identifiers to insure patient’s safety.
- Work closely with the clinical team to educate, promote and schedule patients via Epic
- Resolve and follow up on any patient related issues/problem.
- Close and/or void all clinic visits and reschedule patients accordingly.
- Responsible for monitoring and processing electronic clinic referrals via Epic.
- Perform all functions associated with Epic Cadence: All patient registration functions: Check In: verify/update demographic and insurance information, assign referrals to visit if applicable. Check out: schedule all follow up/radiology/referral appointments in EPIC to ensure 100% compliance.
- Work in collaboration with Finance Department to resolve any insurance issues with scheduled appointment patients: non-par insurance expired HHC options, authorization of insurance.
- Schedule follow-up appointments and referrals for the patients as indicated by the physician.
- Check managed Care assignment and PCP verification. Clerical Associate must verify who the PCP is to assure that patient is seeing their Primary Care Provider. Specialty Clinic, Clerical Associate will verify referral in the EMR.
- Process and mail broken appointment letters utilizing Epic when necessary.
- Make reminder and follow-up calls utilizing providers DAR.
- Performs moderately difficult and responsible clerical work in maintaining and checking various kinds of records
- Assists in preparing and arranging for services and activities in connection with receptions and other public functions.
- Supervises the operation of one or more multiple switchboards.
- Performs moderately difficult data entry and retrieval using a video display terminal or other automated office systems.
- Verify the insurance response to verify insurance care information and makes corrections as appropriate.
- Scan documents in system: consent, TPO, insurance card, identification, etc.
- Confirm/enter patient’s preferred pharmacy.
- Confirm patient has MyChart, if not, assist patient in signing up for MyChart.
- Collects co-payments due after insurance verification is completed
- Check out patient in scheduling system (some areas PCA is responsible). This will record exact exit time (cycle time). Ensure that all patients have been checked out for each session (am/pm), and collects any payments not collect at check-in.
- When patient was a NO Show, will indicate that patient did not show up, and send letters to patients that did not show.
- Checks work queues for reconciliation of visit encounters.
- Check registration work queues for patient errors and referral to the department.
- Perform other related duties as required for the department.

**Minimum Qualifications**:

- A four-year High School Diploma or its educational equivalent and one year of satisfactory clerical experience.

**Skills Requirement**:
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
