We are seeking an Administrative Assistant to support our financial planning and investment management team. Our ideal hire will be a true team player, willing to jump in and assist any team member, advisor or executive with the support they need.
This is a fast paced and high-volume office that focuses on a positive client experience. We are looking for individuals who are passionate about helping clients, good communicators, takes direction well, reliable, organized, and can follow through on activities in a timely manner. This position requires the ability to work well in both a self-directed manner and in a collaborative team environment. If you are ready to embrace a positive attitude with a willingness to help others achieve their goals, this is the job for you.
**Typical Duties and Responsibilities**
- Answer and direct phone calls
- Schedule appointments and manage calendars.
- Produce and deliver correspondence.
- Maintain electronic filing systems.
- Order supplies for office and kitchen.
- Maintain clean, sanitary, tidy, and welcoming environment in shared spaces.
- Provide general support and hospitality to visitors. Prepare conference rooms with needed materials.
- Work with outside vendors for service calls.
- Carry out administrative duties including but not limited to filing, copying, scanning, mailing, binding, and coordinating overnight delivery.
- Organize travel arrangements and other special projects as needed.
- Always handle sensitive information in a professional and confidential manner.
- Any other support duties as requested by firm members.
**Qualifications and Experience**
- Financial Services preferred.
- Must be able to pass a federal background check and drug test.
- Proficient in Microsoft Office Suite.
- Familiarity with a Client Relationship Management (CRM) software
**Knowledge and Skills**
- Attention to detail and organization, with a high level of accuracy.
- Initiative and ability to multi-task.
- Dependable, willing to put in extra effort, motivated to tackle problems, comfortable with periodic pressure and able to assist a wide range of personalities and temperaments.
- Desire to assist team members, colleagues, and clients to the best of your ability.
- Willingness to learn new skills.
- Positive and friendly attitude.
Schedule:
- Monday to Friday 8:30-5:00
- We can be flexible with start and end times for the position.
**Education**:
- High school or equivalent (preferred)
**Experience**:
- Microsoft Office: 2 years (preferred)
- Customer Service: 2 years (preferred)
Pay: $20.00 - $22.00 per hour
