Peoria, United States Comfort Keepers - Peoria Full time

Position Summary: Responsible for assisting all office functions including assisting in accurately planning and coordinating the schedule of qualified Comfort Keepers based on all new and current client needs. The focus is to be proactive and optimize workforce productivity and minimize downtime by managing schedules 2 weeks or more in advance. Analyzes current and anticipated hours and makes recommendations to aid in maintenance of proper staffing levels.

Essential Functions:

- Schedules shifts and hours 2 weeks or more in advance by coordinating caregiver qualifications and availability to clients needs.
- Identifies and addresses scheduling issues (i.e. call offs, etc.) and uses independent judgment to evaluate alternative solutions and implement established policies for immediate resolution.
- Maintains and promotes a positive, professional business attitude.
- Uses independent discretion to manage work/schedule priority based on client/business needs and engages the proper resources to develop an effective and efficient schedule.
- Analyzes, evaluates and forecasts current hours and staffing levels against established sales goals and makes recommendations to aid in maintaining proper staffing levels.
- Primary liaison between the Client Care Manager, HR, and Sales.
- Takes initiative to identify root cause scheduling obstacles and recommend solutions/resources to aid in long term resolution strategies.
- Receives callers at office in person or by phone, determines the nature of the call and routes to the correct destination.
- Participates in on-call rotation as assigned. Participates in client case conferences as requested by immediate supervisor.
- May assist with the input, verification, and release of billing and payroll information as well as the assembly of data for financial reporting purposes.
- Supports a dynamic, growing office by assisting with projects throughout the office as needed.
- May work with Client Care Manager and HR to assist in resolution of employee issues.

Knowledge, Skills, Abilities:

- Detail oriented.
- Proficient in prioritizing and managing multiple tasks.
- Must be able to follow verbal and written instructions and document services provided.
- Ability to speak clearly and actively listen.

- Strong organizational and interpersonal skills.
- Experience with customer service and multi-line phones, with ability to meet people’s needs.
- Excellent telephone etiquette and communication skills are necessary.
- Familiarity with computers and other office equipment.
- Strong customer service skills.
- A strong work ethic is necessary to focus on initiative-driven deliverables while maintaining goals of the business.

Working Environment: Office environment.

Position Physical Demands: Walking, sitting, and standing with lifting limited to files and records typically not expected to exceed 5 pounds in weight. Extended time at a computer work screen and on the telephone so vision and hearing skills required.

QUALIFICATIONS
- High School diploma or GED. College degree preferred.
- A minimum of 2 years customer service or related experience.
- Experience with scheduling systems in the health care industry preferred.
