The Administrative Assistant position in the Chief Quality Office at MD Anderson Cancer Center provides routine administrative and secretarial duties for the Chief Quality Office Division and any departments within. The individual will use judgment within general guidelines, including coordinator of travel and events, and other related functions. The individual must be able to adapt to constantly changing demands of the institutional and the departments.

**JOB SPECIFIC COMPETENCIES**:
Department Operations:
Maintains and updates confidential office files as needed. Supporting event, surveys (division wide activities). liaison between dept & admin office that needs are met. Coordinate equipment & inventory. Supports onboarding/termination.

Purchasing:
Functions as department purchaser/procard holder for office supplies, materials, equipment, special orders and ensures supply par levels are maintained. Maintains appropriate documentation of purchases and performs appropriate account reconciliations including resolving related accounting issues. Coordinates mail functions; processes staff's incoming and outgoing mail; and coordinates overnight mail requests. Making sure purchases & expenses are within institutional guidelines. Coordinates and prepares travel arrangements and submits appropriate expense reports.

Administrative Support:
Performs as department timekeeper and ensures time off usage is in alignment with institutional guidelines; resolves timekeeping issues. Manages calendar for department(s)/committee(s) as needed. Manages schedules and arranges meetings and provides necessary support as needed including agenda coordination, meeting materials, location arrangement, virtual meeting support, presentation creation/formatting, and meeting minutes/notes. Composes formal and informal correspondence. Creates and formats presentations. Provides backup support to other areas of the division.

EDUCATION:
Required: High school diploma or equivalent.

Preferred: Bachelor's degree would be a plus.

EXPERIENCE:
Required: Four years of administrative/secretarial experience. With preferred degree, no experience required.

OTHER:
Must pass pre-employment skills test as required and administered by Human Resources.
