**GREENCITY Design** is a Design + Build firm based in Hoboken, NJ, servicing high-end clientele in Manhattan, Jersey City, and Hoboken. We specialize in roof gardens, terraces, townhouses, backyards, and renovation projects. Our mission is to create stunning, sustainable outdoor spaces that enhance the quality of life for our clients.

We are looking for an organized and proactive **Executive Admin Assistant** to manage administrative tasks, client communication, and project coordination. This role is ideal for a detail-oriented individual who can work independently, handle multiple tasks efficiently, and contribute to the smooth running of our daily operations.

**Key Responsibilities**:

- Manage and coordinate daily administrative tasks, including scheduling meetings, maintaining calendars, and preparing reports.
- Serve as the primary point of contact for clients, ensuring timely and professional communication.
- Assist in project management by tracking project timelines, milestones, and deliverables.
- Coordinate with subcontractors and field crew, ensuring that all necessary materials and resources are available for projects.
- Prepare and process client proposals, invoices, and other documents as needed.
- Conduct market research and compile data to support business development initiatives.

**Qualifications**:

- Proven experience as an Executive Assistant, Admin Assistant, or in a similar administrative role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management software.
- Ability to work independently and handle confidential information with discretion.
- Availability to work part-time with the potential to transition to full-time based on workload and performance.
- Knowledge of landscape design or construction industry is preferred.
- Bachelor's degree in Business Administration, Communications, or a related field is a plus.
- Experience with CRM and project management software (e.g., JobTread).
- Familiarity with social media management and basic marketing principles.
- Local to the New York metro area, with the ability to attend occasional in-person meetings or site visits.

**Compensation**:

- Part Time (Initially 20-30 hrs)
- Hourly rate: $25 to $40 based on experience.
