Executive Administrative Assistant

Key Responsibilities:
The Executive Administrative Assistant plays a crucial role in maintaining the confidentiality and management of sensitive information relating to the college's policies, procedures, budgets, and personnel within the Office of the Academic Affairs and the Office of Enrollment Management and Student Affairs (EMSA). This split position supports the Vice Presidents’ Offices in the area of tracking weekly budget monitoring. Relating to budgets, this position supports administrative management of offices’ needs in area of ordering, coordinating and maintaining office supplies for each department.
Additionally, this position involves the critical role of tracking annual reports required by MSCHE, NYSED, and USED, their submissions, and adhering to the deadlines.
Duties and Responsibilities for Enrollment Management:
- Complete, submit and track, invoices, and requisitions, by Program Directors reporting to each of the Vice Presidents twice weekly.
- Monitor the budgets for alignment with planned invoice expenditure for each department.
- Assist in the coordination and execution of enrollment-related events, such as Admissions Day, New Student Orientation, Graduation Ceremony, Student Affairs’ student gatherings, events, student meetings and workshops.
- Support follow-up activities to events, assist with mailings, inventory of collateral materials for students and applicants.
- Assist with student worker supervision as needed.
- Assist with proctoring Accuplacer ATB exams when needed
- Assist with interdepartmental coordination for the scheduling of events at the Bronx Campus.
Duties and Responsibilities for Academic Affairs:
- Complete, submit and track, invoices, and requisitions, by Program Directors reporting to each of the Vice Presidents twice weekly.
- Monitor the budgets for each department.
- Assist the Dean for Academic Affairs in scheduling and preparing for meetings, ensuring efficient use of time and resources.
- Manage confidential documents related to academic policies, procedures, and faculty affairs.
- Support the academic administrative processes, including tracking budget expenditures, preparing financial documents, and managing accreditation materials.
- Coordinate academic events and meetings, such as faculty conferences, Constructive Action Annual Exhibit, Honor Society Ceremonies, and graduation planning.
Common Duties and Responsibilities:
- Maintain a dual reporting line to the Vice Presidents’ of Academic Affairs and VP of EMSA;
- Serve as a liaison for the Deans, Directors of Programs facilitating the exchange of information between their offices and other departments.
- Perform additional support and clerical duties as required to assist both departments.
Qualifications: A bachelor’s degree is required, and 5 years of executive administrative experience. Experience in college administration preferred. Must be customer service oriented and punctual. Must have working knowledge of Word, Excel and computer literate.
