**SUMMARY/OBJECTIVE**
Chrome Hearts is a luxury brand known for its high-quality, hand-crafted jewelry, accessories, and fashion items. Our brand stands at the intersection of artistry and luxury, delivering unique and exclusive products to a discerning clientele. We are seeking a dedicated and highly organized Executive Assistant to support our Chief Operating Officer (COO) in managing the operational excellence of our dynamic and fast-paced company.
**ESSENTIAL FUNCTIONS**
- Provide comprehensive administrative support to ensure organization and alignment of calendars, meetings, commitments and itineraries.
- Proactively anticipate the COO's needs, dependent on daily commitments to maximize the COO’s time.
- Manage all communications for the COO, including screening calls, drafting correspondence, and responding to requests.
- Organize internal and external meetings, including scheduling, preparing agendas, taking minutes, and following up on action items.
- Coordinate signatures for invoices from all levels of approval.
- Head the company gifting program including planning, purchasing, and distribution of company gifts.
- Manage the COO’s expense reports, including budgeting, gathering financial documentation, and ensuring timely submission and accuracy.
- Serve as Project Manager for various programs under COO, which include prioritization of tasks, ensuring all projects are moving forward towards completion, and adherence to deadlines. Provide updates and reports on project status.
- Prepare, review, and edit presentations, reports, and other documents as needed. Ensure all documents are accurate and professionally presented.
- Arrange complex travel logistics, including flights, accommodations, ground transportation, and detailed itineraries.
- Build and maintain relationships with internal and external stakeholders, acting as a liaison on behalf of the COO.
- Serve as office manager for COO’s office location, managing supplies, equipment and facilities.
- Coordinate document notarization.
**Requirements**:
**QUALIFICATIONS**
- Experience: Minimum of 5 years of experience as an executive assistant, preferably in a luxury brand or high-paced environment.
- Education: Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and problem-solving skills.
- High level of professionalism and discretion.
- Ability to work independently and as part of a team.
- Strong interpersonal skills and the ability to build relationships with stakeholders.
