**Role Description**

The Order Management Specialist is responsible for day-to-day order processing, managing customer communications, and providing excellent customer service. This is a full-time, 8:30AM-5:30PM, on-site role located at our Flagship showroom / main office in New York, NY.

**Customer Service Job Description**

**Order Handling**:

- Verify and check all orders for accuracy, processing them promptly and minimizing errors.
- Release orders for shipping to the warehouse after thorough inspection and import processes.

**Invoicing and Documentation**:

- Enter and process manual and EDI invoices efficiently.
- Upload new products into the ERP system.
- Generate Master Orders for stock replenishment.
- Upload container files and Advance Shipping Notices.
- Process backorder reports and handle container receiving in the ERP system.

**Communication and Collaboration**:

- Communicate closely with the warehouse to address any issues or discrepancies promptly.
- Collaborate with the Accounting department in Italy, assisting with payment entry and invoicing.
- Submit payments to the accounting department by scanning chacks and submitting daily payment

report.

**Claims Processing**:

- Follow the Kartell claims procedure for processing claims.
- Enter claims into our internal system WebUp and ensure timely follow-up with client.
- Coordinate with managers to evaluate and issue replacement orders for approved claims.

Logistics and Record Keeping:

- Consolidate a transfer to Miami to fulfil orders, maintaining accurate records and follow-ups.
- Keep close contact with our warehouse team.
- Monitor and handle regular phone service calls, responding to customer inquiries and other questions promptly and professionally.
- Initiate phone calls to follow up with customers and explore potential sales opportunities.

**Qualifications**:

- Proven experience in customer service and order processing.
- Familiarity with ERP systems and order management tools a PLUS.
- Strong attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Ability to work collaboratively and provide support across different functions.
- Proficiency in handling customer inquiries and resolving issues effectively.
- EDI order processing knowlege a must
- Acumatica ERP knowledge a plus
- Strong Analytical Skills
- Excellent Communication skills
- Customer Service skills
- Proficient in Microsoft Excel and other relevant software
- Ability to multitask and prioritize effectively
- Experience in warehouse inventory management is a plus
- Bachelor's degree in Business Administration or related field
- Bilingual - Italian a plus

Pay: $30.00 - $32.00 per hour

Expected hours: 40 per week
