This position will be the onsite Office Manager for Sonatype’s headquarters in Fulton, Maryland. In this role you will handle activities such as: ordering office supplies and food, distributing mail and greeting guests, as well as internal and external meeting coordination; maintaining travel arrangements and managing expense reports for designated members of executive Leadership team, coordinating events and leadership activities and other administrative tasks as assigned. 



The ideal person for the job will be a high energy individual that is a proactive problem solver with exceptional communication skills and a meticulous attention to detail. They will have experience working in an office environment, performing administrative duties, and providing support to leaders. Given the changing nature of the executive landscape, we rely on our assistants for flexibility and foresight, while maintaining confidences related to high-level systems and operations. 







What you will do:Performs various administrative functions for Sonatype CEO and other senior leaders including maintaining calendars and schedules, making travel/accommodation arrangements, making meeting arrangements, interacting with clients/visitors, completing expense reports.Manage communication between upper management and employees, collaborating closely with internal and external executives on various projects and tasksPerforms general office administrative functions such as maintaining files, preparing presentations, and handling mail / email / correspondence.Is responsive and maintains communication with other departments/individuals and conducts follow-up for various projects and ongoing tasks and responsibilities.Ensure inventory of all kitchen and personal supplies and proactively place orders  Regular cleaning and organization of conference rooms, business decor, central gathering areasPlan a wide variety of social activities, team lunches, transportation and branding events while maintaining budget requirements  
Who you are:3 days per week onsite in the Fulton, MD office - with Occasional Mondays as needed At least 4 years’ experience in administrative role reporting directly to upper managementSuperb written and verbal communication skillsDemonstrated ability to manage budgets and work with order management systemsStrong time-management skills and the ability to prioritize and coordinate multiple projects at onceProficiency in Microsoft Office, Google Suite, Airbase, Concur  and other office productivity tools, with ability to learn new software and systems; Use of Slack preferred Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challengeAbility to maintain strict confidentiality and professional decorum at all timesLocal knowledge of the area, of restaurants, social and event venues, transportation vendors, grocery and retail outlets and delivery services a plus.
