PERSONAL ASSISTANT


Position Overview:

This position is for the Personal Assistant of Jonathann Kuo, MD and Amandine Chow (both referred to as “JA” in this job posting).

The couple is seeking a highly effective, organized and proactive Personal Assistant (PA) to support their dynamic lifestyle orientated around health, business and general life enjoyment. This role involves managing both personal and professional tasks to ensure smooth daily operations, enhance productivity and reduce time wasting. The ideal candidate will be adaptable and capable of handling a wide range of responsibilities, from managing personal (JA + 2 kids) and professional tasks to social media management, to social and professional event planning, to household management (see further below for more details).

The core principle for this position is to save JA time and energy in key areas of life, including health, relationships, personal and business tasks, and home management. The most scarce resource for AC is time. Your job will be to save them time and at a higher level, to assist in accomplishing results. Creativity in the accomplishment of goals is encouraged. Our ideal candidate is someone who is organized, detail-oriented, and able to handle multiple tasks with a positive attitude.


Key Responsibilities (in no particular order):

  • Scheduling: Coordinate and manage family calendars. Take lead in planning and organizing events, including dinners and social gatherings at home and for external events. Also assist with light work-related tasks, including scheduling meetings, managing correspondence, and basic admin work if required and as directed by Amandine
  • Logistics Coordination: Handle logistics related to the children's activities, including transportation arrangements, and liaising with schools and extracurricular organizations. Assist in the process of Kindergarten application for their eldest son such as scheduling school tours etc.
  • Household Management: Assist with household errands such as grocery shopping, coordinating with vendors, and managing household supplies.
  • Administrative Support: Provide administrative assistance including managing correspondence, organizing files, and handling paperwork related to the household.
  • Event Planning: Assist in planning and organizing family events, celebrations, and special occasions.
  • Child Care Assistance: Provide occasional support with the children, including school pick-ups, supervising activities, and ensuring their needs are met. The family has a strong nanny support network but at very rare occasions will need your support.
  • Travel Coordination: Coordinate travel arrangements, including holiday planning and occasional travel with Jonathann to other countries. Handle travel documentation such as visas, tickets, and itineraries.
  • Miscellaneous Tasks: Handle other tasks as required, which may include light housekeeping duties or running errands.


Social Media Management:

  • While Jonathann has a social media manager on staff there may be instances where he needs additional support
  • Assist with content creation and scheduling posts across various platforms.
  • Handling dating scheduling, initial conversations and managing dating profiles.
  • Assist with responding and engagement on both personal and professional queries across all social media channels.


Household Management:

  • Joint responsibility with Amandine:
  • Ensure the house is stocked with food, drinks, and other necessary supplies.
  • Manage household supplies and maintenance tasks.
  • Perform external errands such as grocery shopping, post office visits, and other local tasks.
  • Oversee household chores and maintenance, ensuring the home runs smoothly.
  • Ensure meals are provided in an orderly fashion.
  • Light cleaning or tidying (e.g. dishes, making the bed etc) if the nanny or housekeeper for some reason does not do her job (which you will be in charge of).
  • Coordinate with vendors for events, home planning, arrangements, and personal daily tasks (e.g., maintenance repairs, deliveries, etc.). This includes engaging and managing external companies or handling ad-hoc work requirements through services like TaskRabbit.


General Duties:

  • Reliability: Strong work ethic with a high level of reliability and discretion.
  • Manage personal schedules and calendars, ensuring all appointments and commitments are met.
  • Handle correspondence, including some email accounts and home mail.
  • Assist with personal tasks and any other duties as required to support the employer's lifestyle.
  • Find other, creative, ways to either enhance the lifestyle of the individual and/or to save the employer time and energy in key areas.


Qualifications and Skills:

  • Previous experience as a Personal Assistant or in a similar role.
  • Excellent organizational, communication and multitasking skills.
  • Proficiency in social media platforms and basic content creation tools.
  • Ability to manage time effectively and work flexibly, including remote and in-person.
  • Willingness to travel occasionally.
  • High level of discretion and ability to handle confidential information.


Working Expectations:

  • Flexible working hours, combining remote and in-person tasks.
  • Occasional travel, both domestic and international. This is to ensure smooth travel execution.
  • Varied workload with the need to manage multiple responsibilities simultaneously.
