Operations Assistant

Schedule: Monday- Friday 7:15am- 3:30pm
Pay: $42-$45k salary
Direct Hire- MUST be able to start August 26th
Job Responsibilities for Front Desk Receptionist:
Greet and welcome students, parents, faculty, staff, and visitors with a friendly and approachable demeanor in a Sacred Heart manner
Monitor parent, vendor, and visitors' access to the school premises, following established safety and security protocols and issuing visitor badges as necessary
Answer incoming phone calls, direct calls to the appropriate personnel, and take accurate messages when necessary
Provide accurate information about the school's programs, events, policies, and procedures to parents, visitors, and callers
Ordering supplies
Assist with school event set up and operations
Receive and distribute mail, packages, and deliveries to the appropriate recipients within the school
Coordinate outgoing mail and packages while maintaining the school’s shipping accounts and the postage meter along with the Business Office
Maintain a neat and organized front desk and reception area, ensuring all informational materials are up-to-date and readily available
Manage student attendance records by accurately recording absences, late arrivals, and early dismissals using an attendance management system and coordinating with the School Nurse, teachers, and School Leadership Team as necessary
Coordinate with the Registrar, Dean of Faculty, other members of the School Leadership Team, and members of the faculty to manage faculty absences and substitute teaching coverage
Maintain an organized filing system for important documents, forms, and records.
Coordinate ordering of office supplies and update the Business Office regarding budgeting of supplies
Assist with school events, meetings, and parent-teacher conferences by helping to coordinate schedules and providing logistical support.
Collaborate with the School Leadership Team to complete various tasks, such as data entry, report generation, and other administrative tasks as assigned.
Uphold confidentiality and professionalism in all interactions and communications.
Job Requirements for Front Desk Receptionist :
High school diploma or equivalent; additional education or certification in office administration or customer service is a plus.
Excellent interpersonal and communication skills, with the ability to interact effectively with students, parents, staff, and visitors of all backgrounds.
Must be able to be authoritative figure to students and run front of house smoothly
MUST BE HIGHLY PROFICIENT IN EXCEL, POWERPOINT, MICROSOFT OFFICE 4+ years
Strong administrative skills
