Job Description:

To manage, coordinate, and directly support the administrative, business management, and/or staff activities within a process/department.

Job Duties:
  • Executes, with minimal direction, administrative duties, including managing time-critical, sensitive and/or confidential information.
  • Coordinates all activities related to the Department of Surgery
  • Provide administrative support to Faculty/Administrator in the Department of Surgery.
  • Processes faculty records for reappointments for medical staff assignments; assuring all licensing requirements are current and in compliance.
  • Assist new faculty with tasks such as parking assignments, lab coat orders, business cards, etc.
  • Ensures the goals and objectives specified are accomplished in accordance with prescribed priorities, deadlines, and funding conditions.
  • Update faculty curriculum vitae annually.
  • Works in tandem with other coordinators and administrative support staff in the department filling in and covering other departmental areas.
  • Assists in scheduling of meetings using Outlook calendar, the preparation of agendas, reserves room, send meeting reminders.
  • Composes correspondence and memorandums in appropriate business letter format including proofreading all completed assignments for grammar, format, and structure.
  • Composes highly technical and/or confidential material.
  • Performs miscellaneous clerical tasks, such as making copies, filing, faxing information, and maintaining area bulletin boards.
  • Sorts, stamps, and distributes incoming mail and prepares outgoing mail.
  • Coordinates departmental purchasing of office supplies, and other approved items as needed.
  • Approves and monitors time and attendance in KRONOS for faculty.
  • Coordinates and processes employee travel arrangements and reimbursements, as well non-PO vouchers and internal billing requests, ensuring compliance with current UTMB Guidelines.
  • Processes requisitions for routine, non-routine, and capital equipment purchases in accordance with current UTMB procurement rules and guidelines.
  • Ensures QGenda and AMCOM Call Schedules are entered in each month.
  • Interprets and executes rules, regulations, and policies, as applicable, and adheres to internal controls established by Department.
  • Performs any related duties required to maintain efficient operations in the Department of Surgery.
Preferred Skill/Competency:
  • Familiar with Microsoft Office, POWER, Kronos Timekeeping System, Epic.
  • Possess excellent verbal, written, organizational and interpersonal skills.
  • Ability to multi-task to support diverse areas within the administrative team.
  • Experience working in a team environment.
  • Prior administrative support experience.
