Job Description: We seek a detail-oriented Accounts Payable / Accounts Receivable Clerk to join our team. The candidate must have experience in accounting, double-entry bookkeeping, and general ledger reconciliation. Knowledge of timekeeping and accounting software such as QuickBooks is preferred.

Responsibilities:
Processing Transactions:

Accurately and timely process accounts payable (AP) and accounts receivable (AR) transactions.
Record AP data and ensure accurate financial records and documentation.

Vendor Management:

Receive, process, and verify vendor invoices.
Verify and pay invoices against purchase orders.
Verify and pay expense reimbursement forms against receipts.
Avoid for duplicate submissions and payments.
Maintain vendor contact information and portal credentials up to date.
Request 1099s and W9s from vendors as needed.
Set up practices and vendors in the AP platform.

Cash Application:

Ensure all cash receipts and deductions are applied daily.
Monitor, collect, and resolve AR aging items.
Establish a process and work with clients for timely collection.

Month-End Activities:

Assist in month-end closing activities to ensure accurate financial records.
Assist with other accounting and finance projects, as required.

Customer Management:

Maintain customer contact information and portal credentials up to date.
Support internal and external audits by providing necessary documentation.

QuickBooks Management:

Categorize bank transactions and utilize QuickBooks feature including invoicing, expense tracking, inventory tracking and bank reconciliation.
Provide support to the internal team and liaise with QuickBooks customer support as needed.

Required Skills and Experience:

Associate degree on equivalent. High degree of accuracy is highly preferred.
Strong attention to details.
At least three years of experience in accounts receivable and payable.
Knowledge of QuickBooks to categorized bank transactions and utilize its the main feature: invoicing, expense tracking, inventory tracking and bank reconciliation.
Proficient in Microsoft 365, especially Excel, with practical experience in functions such as copy, paste, V-Lookup, Index/Match, SUMIF, and Pivot Tables.
Excellent organizational and analytical skills.
Ability to adapt to changing procedures and offer insight into process improvement
Ability to work cooperatively and collaboratively with all levels of employees.
Strong oral and written communication, including being transparent, informative, and responsive.

Compensation:

Base salary $60K-$65K, plus benefits including health/dental/vision/PTO.
