Position Overview: The Construction Financial Analyst will report directly to the Controller and will be an integral part of our finance team. This role is based in our Irvine office and does not offer remote or hybrid work options.

Key Responsibilities:

  • Support Accounts Payable and Accounts Receivable functions.
  • Collaborate with the Controller to generate monthly billing statements.
  • Reconcile accounts for clients and vendors.
  • Process invoices from vendors efficiently.
  • Ensure invoices align with contracts, managing a significant volume of transactions while maintaining proper documentation and authorization.
  • Work alongside the team to deliver precise billing to clients in line with contractual agreements.
  • Investigate and resolve AP/AR discrepancies as they arise.
  • Assist in the collection of payments and liaise with clients to address payment-related concerns.
  • Monitor accounts to confirm timely payments.
  • Prepare job cost entries and scrutinize project expenditures for accurate project postings.
  • Engage in additional projects as needed.
  • Handle daily mail processing.
  • Perform data entry, filing, and provide support to the accounting department.
  • Track preliminary notices from subcontractors and suppliers.
  • Follow up on lien releases from subcontractors and their suppliers.
  • Maintain regular communication with Construction/Project Managers regarding various job-related matters, including contracts, bonding, and insurance.
  • Continuously enhance the payment process to ensure the timely management of accounts payable.
  • Keep track of new and existing vendors/subcontractors to ensure compliance with licensing, insurance, and waivers.

Qualifications:

  • Bachelor's degree in Accounting, Business, or a related discipline (preferred).
  • A minimum of 3 years of relevant accounting experience.
  • Proficient in Construction Progress Billings and Construction AP/AR.
  • Familiarity with AIA Documents, Schedules of Values, and Budgets.
  • Understanding of Mechanics' Lien Release and Preliminary Notices.
  • Strong computer skills in Microsoft Office Suite and accounting software (such as Foundation & QuickBooks).
  • Advanced proficiency in Microsoft Excel.
  • Ability to thrive under pressure.
  • Capable of managing multiple tasks simultaneously.
  • Self-motivated and efficient in a fast-paced, collaborative environment.
  • Excellent listening and communication skills.
