Job Description:


We're currently on the lookout for a Lead Event Producer who thrives in dynamic creative environments and exhibits exceptional communication skills, but who also knows how to have fun. In this role, you'll take charge of planning, executing, and coordinating assigned events, ensuring that each event reflects the unique vision and preferences of our clients.

Responsibilities:

Client Collaboration: Work closely with clients to understand their vision, preferences, and budgetary constraints, ensuring that each wedding reflects their individual style and personality.


Project Management: Manage all aspects of wedding planning, including venue selection, vendor coordination, budget management, and timeline development, to ensure seamless planning processes. Emphasis on efficiency and excellence. 


Vendor Management: Source, negotiate contracts with, and manage relationships with various vendors such as florists, caterers, photographers, and entertainment providers to ensure the highest quality of service and adherence to budgetary constraints (when applicable).


Logistics Coordination: Oversee all logistical aspects of weddings, including decor, F&B, transportation, accommodations, and guest management, to ensure a smooth and stress-free experience for clients and their guests.


Problem Solving: Proactively identify and address any challenges or issues that may arise during the planning or execution of weddings, employing resourcefulness and creativity to find effective solutions.


Team Collaboration: Collaborate closely with other members of the event planning team, including assistants, coordinators, and designers, to ensure cohesive execution of each event.


Budget Oversight: Develop and manage budgets for each event, tracking expenses and ensuring adherence to financial targets. Exhibit full transparency within budget to client and fellow associates. 


Timeline Management: Develop detailed timelines for each wedding, coordinating all elements of the event to ensure that it runs smoothly and according to schedule. Formulate and present a forward planning timeline to the client, and adhere to it throughout the planning process. 


Client Communication: Maintain regular communication with clients throughout the planning process, providing updates, soliciting feedback, and addressing any concerns or questions they may have. Comfortability with all forms of communication is necessary (email, text, phone calls). 


Post-Event Evaluation: Conduct post-event evaluations to assess the success of each wedding, soliciting feedback from clients and vendors to identify areas for improvement and inform future event planning efforts.


Qualifications:

  • Demonstrated expertise as a Lead Event Producer (more than 10 years of experience).  Prior familiarity with large budget management and serving luxury clientele is highly preferred.
  • In-depth knowledge of industry leaders and a well-established network of connections.
  • Exceptional resourcefulness and the ability to solve problems independently, even with minimal guidance.
  • Proficiency in efficiently navigating challenges and implementing proactive solutions.
  • Strong organizational and time-management abilities, adept at being proactive.
  • Outstanding communication and interpersonal skills, capable of professional interaction with clients and internal colleagues.
  • Strong attention to detail, ensuring accuracy and precision in all aspects of event planning.
  • Creative problem-solving skills, bringing innovative ideas to overcome challenges and enhance event experiences.
  • Experience in budget management, including monitoring expenses and identifying cost-saving opportunities. Experience working with budgets in excess of $1,000,000 is strongly preferred. 
  • Knowledge of contract negotiation and vendor relations, ensuring favorable terms and successful partnerships.
  • Ability to adapt quickly to changing circumstances and adjust plans accordingly.
  • Commitment to maintaining a positive and professional attitude, fostering a collaborative and supportive work environment.
  • Proven ability to lead and motivate a team, fostering teamwork and excellence in execution.
  • Dedication to continuous learning and professional development, staying updated on industry trends and best practices.
  • Proven track record of handling sensitive information with the highest level of confidentiality and discretion.
  • Flexibility to work evenings, weekends, and holidays as required.
  • Proficiency in Google Workspace tools, including Calendar, Gmail, and Google Sheets.

This position reports to the VP of Events.

This is an immediate start position. An expected 1-month onboarding period.
