Administrative Assistant
Location: Roseville
Schedule: 8 AM - 5 PM
Pay Range: $20 - $23/hour
Essential Duties and Responsibilities:
- Organize, scan, and assemble important documents for various client engagements and business services.
- Prepare and process business correspondence, including client engagement letters, proposals, and reports.
- Coordinate and schedule client meetings, managing calendar invites and reminders.
- Assemble and mail client documents and other essential materials.
- Maintain and organize off-site storage documentation.
- Provide comprehensive administrative support, including filing, faxing, scanning, preparing outgoing mail, and answering phone calls.
- Manage data entry for records, maintaining accuracy and completeness.
- Serve as back-up for reception, greeting clients, and managing inquiries.
- Oversee office supply inventory and order replenishments as needed.
- Handle various errands, such as local deliveries to the post office, FedEx, or client locations.
- Assist with the preparation of presentations and meeting materials as assigned.
- Support ad hoc projects and administrative tasks to facilitate smooth office operations.
Qualifications:
- Must be a quick learner, organized, self-motivated, and detail-oriented.
- Proficient in Microsoft Office Suite, especially Microsoft Excel and Word.
- Strong customer service skills with professional phone etiquette.
- Ability to multitask and work effectively in a fast-paced, deadline-driven environment.
- Team player with strong collaboration skills, able to work with all levels of staff.
- Excellent verbal and written communication skills.
Education/Experience:
- Minimum of 2 years of experience in an administrative role, preferably within a professional services environment
