Reports to: Assistant Superintendent of Teaching & Learning

Position summary: Provide clerical services to the Assistant Superintendent of Teaching & Learning and the Director of Teaching & Learning

Position responsibilities:
  • Create and maintain files for Teaching & Learning department
  • Compile data and prepare reports for the Illinois State Board of Education (ISBE) in IWAS, including Title I Comparability and ESEA performance report
  • Compile data and prepare Federal reports, including Civil Rights Data Collection
  • Compile data reports from the District's Student Information System
  • Account management, including monitoring, ordering, receipting, requisitions, reconciliation, processing purchase orders, inventory, payroll processing, and reporting
  • Prepare agendas, school calendars, correspondence, brochures, and PowerPoint presentations
  • Answers communications from staff, applicants, and parents (e-mails, phone calls, letters)
  • Coordinates food preparation and delivery or pickup for meetings
  • Schedules meetings
  • Assist with professional development: scheduling, registration, communicating, and payroll processing
  • Maintain inventory for resources and items purchased with grant monies
  • Assist with grant management
  • Maintain financial records, create spreadsheets, and assist with budgeting
  • Assist with organizing, developing required paperwork and maintaining Continuing Professional Development Unit (CPDU) records
  • Assist with summer school/program registration, communication, and scheduling
  • Compile information and assist with compliance monitoring visits
  • Other duties as assigned and approved by Teaching and Learning administrators
  • Work with vendors to solidify and manage quotes and contracts
  • Assists Technology department and Business Office with scheduling, documentation, and additional tasks as assigned
  • Provide clerical services to the Superintendent and Board of Education when needed
  • Other duties as assigned

Essential skills and experience:
  • High School diploma or equivalent
  • Proficiency in Microsoft Office applications, particularly Word, Excel, PowerPoint, and Publisher
  • Working knowledge of Google Workspace
  • Knowledge of basic office procedures and operation of office machines/equipment
  • Strong communication and interpersonal skills
  • Detail-oriented
  • Ability to prioritize
  • Ability to maintain good attendance
  • Ability to manage finances
  • Working knowledge of grants and state reporting
  • Strong organizational skills

Valued but not required skills and experience:
  • Experience working in a high school setting
  • 3-5 years of secretarial or clerical experience
  • Associate's degree or higher preferred
  • Bilingual (English-Spanish) preferred

Terms of Employment:
  • Full-time, 12-month work year;
  • Illinois Municipal Retirement Fund (IMRF) position;
  • Starting salary between $45,000 and $50,000;
  • Generous fringe benefits as provided by the current Work Rules & Regulations for Administrative Support Staff;
  • Annual performance evaluation based on Board of Education policy and the Work Rules & Regulations for Administrative Support Staff;
  • Paid 30-minute lunch and two paid 15-minute breaks;
