Administrative Assistant Requirements:
  • 1 -2 years of experience in a similar administrative role
  • Experience within the construction is a plus
  • Thorough attention to detail and accuracy
  • Excellent communication skills, both verbal and written
  • Basic knowledge of construction processes or willingness to learn quickly
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with project management tools (Procure, PlanGrid, or Bluebeam) is a plus
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment
  • Problem-solving skills and ability to address minor issues independently
  • Team player attitude and willingness to collaborate with others
  • Eagerness to learn, ask questions, and develop within the construction administration field
  • Ability to work 100% onsite at their office in Jacksonville, FL

Administrative Assistant Responsibilities:
  • Organize and file important documents such as contracts, permits, and project plans
  • Schedule meetings, take notes, and distribute information to the team
  • Support communication among contractors, managers, and other stakeholders
  • Assist with preparing and reviewing contracts and tracking changes
  • Monitor project budgets and ensure spending stays within limits
  • Track project schedules and ensure deadlines are met
  • Assist with quality checks to ensure project requirements are met
  • Plan and track site visits and document progress
  • Write progress updates and create regular project reports
  • Review and process invoices for contractors and suppliers
  • Assist with applying for and tracking permits
  • Maintain organized and up-to-date project files
  • Track and document any changes in the project
  • Coordinate with subcontractors to ensure they understand their tasks and follow up on their progress
  • Assist with any other miscellaneous tasks that ensure everything runs smoothly and stays on track
