Front Desk Administrative Assistant
Job description:
The Front Desk Administrative Assistant is the face of our Company and provides support to managers, other employees, and office visitors by handling a variety of tasks to ensure that all interactions between the organization and others are positive and productive.
This person will be an "A" player, someone who has strong organizational skills, who is assertive, team player, takes initiative and does not wait for direction, is outgoing, smart, has a genuine desire to help others.
ESSENTIAL FUNCTIONS:
* Greets and directs visitors, answers inquiries, and handles phone calls in a courteous, professional manner.
* Schedules appointments, interviews, meetings, and maintains calendars.
* Receives, sorts, files, and retrieves forms, correspondences, and documents.
* Manages office purchases and inventory of supplies, equipment, and uniforms.
* Compiles, maintains and updates reports and summaries of work; completes records, forms, and documents.
* Composes, formats, and types any routine correspondence reports and other documents.
* Operates office equipment including, printers, copiers, scanners, multimedia equipment, etc.
* Sets up new computers and phones for new hires.
* Creates and maintains filing systems, both electronic and physical.
* Assists other departments with information, explaining procedures, assisting with forms and other resources.
* Run errands.
* Other duties assigned.
EDUCATION AND REQUIREMENTS:
* High School degree or equivalent
* AA Degree in General Business is preferred.
* Bilingual a must (Spanish-English).
* 3-5 years of experience in clerical work.
* Exceptional oral and written communication skills.
* Experience in MS Office, Outlook, Word, Excel, Calendars, Teams, PowerPoint, PDF editing.
* Outstanding customer service and phone etiquette skills.
