As a Client Service Associate, you can expect to:
--Think. We want your mind in the mix, to perceive, observe, reflect, decide, and act.
--Intake, screen, organize and process all that you are able, focus the advisors’ attention on the items that require their personal attention, and ensure that all activities are captured, scheduled, and completed.
--Stay apprised of client meetings and ongoing activities, keeping up to date on the advisors’ priorities and projects, goals, and timelines and what they want/need to do with each on an ongoing basis so that you can process, schedule, and assist with projects.
--Coordinate the advisors’ calendar availability; appropriately blocking time and coordinating commitments with the team and managing Calendly.
--Assist clients to complete investment and insurance paperwork; ensure all required forms are completed fully, and accurately
--Drive efficiency and organization of core operational tasks; track new and pending investment business and service requests; track outstanding documents to keep business flowing o Maintain compliance with both FINRA and Broker-Dealer rules & regulations (e.g., documentation, uploads, check logs, etc.)
--Maintain up-to-date organized client files and database records
--Maintain office procedures manual
--Maintain appropriate turnaround time on incoming items (e.g., 24 hours for checks)
--File client statements, correspondence, and agreements completely within five business days
--Maintain CRM system to ensure accuracy and maximize effectiveness of client data collected
--At the direction of an advisor, execute money movements in client accounts
--Schedule and confirm client appointments
--Review and complete all invoices for clients and vendors as they come in
--Communicate and implement effective processes, workflow initiatives, and improvements in the client experience. Update policies and procedures and employee handbook regularly or as necessary.
--Support marketing initiatives for the firm: manage social media, maintain the firm’s website, coordinate creation/distribution of a monthly newsletter, gifts/cards for client life events, etc.
--Perform other duties, as needed

Qualifications for this role include:
--Bachelor’s degree in finance, economics, or a related discipline preferred but not required
--Minimum of 2 years of experience in the financial services industry preferred
--Minimum of 2 years of experience in client service and operations preferred
--Financially literate - Series 7, 66 highly desirable
--Be a notary or willing to become one
--Excellent communication (verbal and written), relationship management, and coordination skills
--Strong computer desktop skills are required: Microsoft Office Suite (Excel, Outlook, Word, etc.)
--Technology-forward
--Ability to adapt in a fast-paced environment
--High attention to detail
--Ability to learn quickly
