Summary

Please note: This position is open to Shareholders only.

The receptionist provides exceptional customer service as the first point of contact when visitors or shareholders visit or call reception desk. Performs administrative and office support to the staff in the Anchorage Ahtna, Inc. offices. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations and filing.

Essential Duties & Responsibilities :

• Answers incoming telephone calls, determines purpose of callers, and transfer calls to appropriate personnel or department. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
• Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate staff members, direct them to sign-in and assign visitor badge.
• Provides general information in response to inquiries about Ahtna, its mission, activities or personnel.
• Organizes and maintains reception area, so as to present a neat and efficient appearance. Assures that Ahtna marketing materials and other informational literature is current and available for visitors and members.
• Maintains downstairs kitchen areas, monitors foods in the refrigerators, keeps counters clean, dishes washed and put away.
• Maintains cleanliness of Deniigi and Nuuni conference rooms.
• Maintains break rooms and production rooms. Ordering supplies for break rooms and production room as needed. Restocking of the supplies.
• Sorts, logs and distributes incoming/outgoing mail.
• Prepares coffee throughout the day.
• Assists shareholders and others who are seeking employment apply for available Ahtna positions through the lobby computer.
• Assists shareholders to complete documents as needed, logging received shareholder information and forwarding to Shareholder Services Manager.
• Maintaining security for office through badging, sign-in/out and monitoring their whereabouts. Keeping an eye out for suspicious characters that should not be let it.
• Delivery of time sensitive packages to shipping sources (Fed-Ex, Alaska Air Cargo, Raven, etc. when necessary)
• Trains other staff on front desk procedures when necessary.
• Provides general administrative support to the Anchorage Ahtna staff.
• Assists in the preparation and cleanup of Ahtna staff meetings and employee events.
• Conducts research projects.
• Updates standard operating procedures for the front desk reception area.
• Assists others with administrative projects and performs miscellaneous duties as assigned.
• Uses computer for various applications, such as word processing and excel.
• Provides general information in response to inquiries about Ahtna, it's mission, activities or personnel.
• Other duties as assigned.

Supervision :

None.

Minimum Qualifications :

• High school diploma or a General Education Diploma (GED).
• Six months' experience working in a customer service or administrative based position.
• Must be familiar with MS office software (Word, Outlook, Excel, and PowerPoint). The work requires ability to use and maintain directories, lists and other manuals.
• Must have professional telephone skills, excellent customer service, and business attire.
• Must be able to pass a background check and drug test.

Preferred Qualifications :

Experience and knowledge of Alaska Native cultures

Shareholder Preference

Work Schedule :

Monday - Friday; 7:30am - 4:30pm, 40 hours

Work Environment :

Work is performed in an office setting with ability to speak and receive phone communications often. Work requires computer usage with strength, dexterity, coordination and visual acuity to use keyboard and video display terminal and other office equipment. Moderate travel required to shareholder communities, subsidiary offices and other locations as needed.
