Position Overview: The Executive Office Manager will support and report to the Publisher & President of the Houston Chronicle. The incumbent will have the opportunity to quickly learn the business and act as the Publisher & President's right hand in both day-to-day operations and strategic initiatives. The ideal candidate will have proven experience in a business management role, with focus on executive-level advising, project management, administrative tasks, and interdepartmental collaboration. This position will reside in Houston, TX with limited travel. In office Monday thru Thursday. Remote on Fridays.

  • Time Management - Improves the efficiency of the business and manages the time of the Publisher & President. Use skills in organization and planning to prioritize tasks, set meetings and diffuse work conflict if and where needed.
  • Problem Solving - Take necessary steps to overcome problems facing the organization, whether it is conflict within the workplace or a problem with a vendor, customer or partner.
  • Critical Thinking - Thinks critically about the organization. Thinking clearly and rationally to understand the relevance and links between ideas to arrive at the best possible solution.
  • Organizational Skills - Ability to stay focused on different tasks while communicating effectively, attention to detail, delegating, and scheduling to achieve the desired outcome.
  • Relationship-building - Work to maintain ethical relationships or networks with leadership and managers to help achieve work-related goals.

Job Responsibilities:
  • Provide administrative, financial, budgeting, expenses, invoicing, ordering supplies, and operational support to the Publisher & President and departments as needed.
    Managing the Publisher & President's schedule, scheduling meetings, and planning travel.
  • Lead the preparation process for analysis and presentations for various internal and external meetings, key meetings, i.e., CEO/Hearst President visits, etc.
  • Conduct onboarding/provisioning new hires and off-boarding of employees and executives.
  • Planning, coordinating and keeping contents of meetings focused.
  • Providing tactical support to implement ideas.
  • Responding to inquiries on behalf of the Publisher & President.
  • Providing support and oversight for special projects and initiatives.
  • Collaborating with executive team members to determine and prioritize business strategies.
  • Build strong relationships with department leaders to allow for cross-functional partnership.
  • Act as an extension of the Publisher & President in appropriate settings to oversee meetings, projects, and/or initiatives.
  • Overseeing strategic business initiatives from ideation to implementation.
  • Serve as a subject-matter expert, handling inquiries, developing action plans, and assisting with preparation and dissemination of communications.
  • Coordinate and book off-site meetings, dinners, and special functions.

Organizational Alignment:
  • Reports to the VP, Human Resources or Publisher of the Houston Chronicle.
  • Member of the HC Executive Committee.
  • Act as an extension of the Publisher & President in appropriate settings to oversee meetings, projects, and/or initiatives.
  • No direct reports.

Qualifications:
  • Four-year college degree in business, finance or similar field or equivalent experience.
  • Minimum of 3 years' experience in a business management or executive role.
  • Experience in organizing and directing multiple teams and departments.
  • Experience in planning and leading strategic initiatives.
  • Concise, persuasive, and authentic communicator both verbally and in written communication.
  • Highly experienced with Excel or Google Sheets and PowerPoint
  • Superb judgment and integrity, and unparalleled confidentiality
  • Experience in data analysis and budget management preferred.
  • Proven Success in a project coordination role preferred.
