What will I do?

As an Office Coordinator you will be responsible for managing the front desk of a large office and warehouse center in the office location. This role will additionally provide administrative support to the sales team at the branch. The office is a busy hub for Stephen Gould and the role is a permanent and fulltime opportunity with working hours from 8am to 5pm Monday-Friday.

  • You will be the first point of contact for the company, whether it is through phone calls, on-site visitors, or email correspondences
  • The administrative duties will consist of updating excel spreadsheets, data entry and verifying payment of invoices along with other clerical tasks.
  • You will need to have fast and accurate typing skills, proficiency in Microsoft Office Suite, time management skills and the ability to multitask.
  • You will support the sales team by arranging couriers, sending samples to customers and suppliers, printing documents and labels, and tracking shipments.
  • Attention to details, as well as excellent written and verbal skills are required.
  • Replenish Office Supples
  • Scan tickets/BOLs and Distribute Warehouse/USPS mail daily
  • Coordinate all RSVPs and donations for Golf tournaments
  • Maintain FedEx/UPS/USPS shipping supplies
  • Replenish copier and postage machine in and labels as needed.
  • Manage AP exception dashboard
  • Process credit card allocations for Regional Sales Leader and Regional Office Manager
  • Support collections and looking into outstanding supplier payments and resolve.

Role Requirements
  • H.S. degree or GED equivalent + a minimum of 3 years' experience in an office setting required.
  • Associate degree in business or related discipline OR bachelors preferred.
  • Experience in a corporate sales and service environment required
  • 3+ years of experience in a large corporate/sales office highly preferred
  • 3+ years of experience in a sales, service, or supply chain related role highly preferred
  • 2 years of light collections or AP/AR experience preferred
  • High proficiency in Microsoft Word, Excel, Outlook and virtual communication and collaboration tools
  • Must be able to work in office everyday Monday through Friday.
