Catholic Charities Bureau, Inc., Jacksonville Regional Office is seeking an HSPRS Case Aide. This is a full-time, non-exempt 40 hour a week (Monday to Friday, 8:00 am to 4:30 pm) position located in downtown Jacksonville, FL.

The Home Study and Post Release (HSPRS) program assists unaccompanied Refugee children with their transition into the United States. Under the U.S. Office of Refugee Resettlement CCB provides HSPRS services to unaccompanied children. Through this program, unaccompanied children and their sponsors receive a variety of services designed to facilitate integration and empowerment among immigrant families in their new communities. Tens of thousands of unaccompanied children seek refuge in the United States each year. Most are fleeing threats and violence in El Salvador, Guatemala, or Honduras. The children are released from the Office of Refugee Resettlement custody into the care of a sponsor. Most (85%) join a relative or friend already living in the United States. It is often a tough transition. They adjust to new communities, cultures, languages, and family units. Each child has mental health, safety, education, and legal needs that must be met. Our staff work with these children and their sponsors. In the Home Study part of the program, we will visit the homes where children will be living before, they get there. We will interview each member of the household and ensure this is a safe placement for the child while supporting the sponsor to prepare for the responsibility of promoting the arriving child's safety, rights, and needs. Once the child is living with their sponsor, the Post Release Services component of our work starts. CCB staff will work with the children and sponsors to create an action plan. They will set goals like finishing school, obtaining legal immigration status, or connecting to other community support systems. Then we will check in with the child and their sponsors at least once a month to make sure the child is safe and making progress. The entire process will take place in whatever language the child and their sponsor are most comfortable speaking.

Job Summary

The Case Aide with the HSPRS Program plays a vital role in providing support and assistance to individuals and families participating in the program. The primary responsibilities include aiding case managers, maintaining accurate records, facilitating communication between clients and the program, and maintaining a small load of virtual cases. Assists in providing the fundamental aspects of program documentation/communication and assists in providing client services, including direct support for families, under close and regular supervision.

Essential Duties and Responsibilities
  • Assist case managers in organizing and maintaining client files and documentation.
  • Provide clerical support, including data entry, filing, and managing correspondence.
  • Conduct routine check-ins with clients to ensure their needs are addressed.
  • Assist clients in understanding and completing program-related paperwork.
  • Facilitate communication between clients and case managers.
  • Collaborate with team members to ensure seamless information flow.
  • Collect and input relevant data into the program database.
  • Generate reports as needed and assist in maintaining accurate program records.
  • Advocate for clients' needs and concerns within the program.
  • Assists clients with connecting with local resources.
  • Collaborate with case managers to address any challenges faced by clients.
  • Assists with client transportation needs as required and accompanies clients to obtain services as needed.
  • Maintains knowledge of and compliance to all funder policies and procedures including timely completion of recommended training.
  • Maintains a caseload of 5 - 10 virtual cases.

  • Participate in in-service activities, training, continuing education, conferences and workshops for professional development and compliance with grant and Agency policies.
  • Keep detailed records per Agency and department guidance.
  • Correctly enter required information in the prescribed databases, in a timely manner.
  • Comply with regulatory, statutory, contractual, grant and Agency standards for timeliness, completeness and accuracy when preparing and maintaining paperwork and required reports.
  • Comply with Diocesan and Catholic Charities Bureau, Inc. general policies, regulations, and procedures.

Required/Preferred Education and Experience
  • Bachelor's degree in social science with a major in health or other human services discipline, or another human service field with relevant coursework, preferred.
  • Experience in social work settings preferred.
  • Experience with case management.
  • Bi-lingual in both English and Spanish, preferred.
  • At least one year working with children.

Other Requirements
  • Clear Level II background screening.
  • Clear a reference check (professional and personal)
  • Clear a local background check from the county in which you reside.
  • Clear a Motor Vehicles Records check.
  • Provide proof of and maintain a minimum personal auto insurance according to agency standards.
  • Provide a copy of all certifications prior to your first day of employment.
  • Clear an E-Verify check.
  • Valid Florida state driver's license and a reliable vehicle required.
  • Must be at least 25 years old as transportation of children is required.

Driving and Travel
  • 40% travel is required for this job.
  • Overnight travel may be required for this position.
  • This position requires that you drive your personal automobile or vehicle on agency business on behalf of Catholic Charities Bureau, Inc. Therefore, you must be at least 21 years old and have a current valid Florida Driver's License with no more than 5 points on your Florida driver's license within the last three years and no DUI convictions. You are required to carry automobile liability insurance in the amount of at least $100,000 for each person, $300,000 for each accident or occurrence for bodily injury, and $50,000 for property damage.

Language Skills

Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to author reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees and the public.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
