*Key Responsibilities***Administrative Support**
- Provide administrative assistance to senior management and other departments as needed.
- Prepare, edit, and distribute correspondence, reports, memos, and other documents.
- Maintain accurate and organized records, including filing, data entry, and document management.
**Office Management**
- Process Sales orders, picking tickets and invoices.
- Check inventory of sales orders prior to shipping and release drivers.
- Match delivery documents with office copies upon return.
- Inventory Control
- Oversee the maintenance of office equipment and arrange for repairs or replacements when necessary.
- Ensure the office environment is clean, organized, and presentable at all times.
**Reception Duties**
- Greet and assist visitors, ensuring a positive and professional experience.
- Answer, screen, and direct phone calls and emails to the appropriate personnel.
- Handle incoming and outgoing mail and packages, including couriers and deliveries.
**Human Resources Support**
- Assist with onboarding new employees, including preparing onboarding materials.
- Maintain and update employee records, including attendance and leave tracking.
**Financial Administration**
- Assist with basic bookkeeping tasks, including processing invoices and purchase orders.
- Work with the finance department to ensure accurate and timely processing of payments.
**Communication and Coordination**
- Serve as a liaison between office staff and management, ensuring effective communication and smooth workflow.
- Coordinate with vendors, customers, and service providers as required.
**Qualifications**
- High school diploma or equivalent; associate's or bachelor's degree in business administration or a related field preferred.
- Proven experience as an office administrator, office manager, or in a similar administrative role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Attention to detail and problem-solving skills.
**Working Conditions**
- Full-time position: Monday to Friday during standard business hours.
