Job Title: Office Administrator

This is an In-Person Position.

The Office Administrator will be responsible for ensuring the smooth and efficient operation of the office by providing administrative support to various departments and managing day-to-day office tasks. The ideal candidate will be highly organized, proactive, and capable of managing multiple tasks simultaneously.

Key Responsibilities:
  • Administrative Support:
    • Provide administrative assistance to senior management and other departments as needed.
    • Prepare, edit, and distribute correspondence, reports, memos, and other documents.
    • Maintain accurate and organized records, including filing, data entry, and document management.
  • Office Management:
    • Process sales orders, picking tickets, and invoices.
    • Check inventory of sales orders prior to shipping and release drivers.
    • Match delivery documents with office copies upon return.
    • Inventory Control.
    • Oversee the maintenance of office equipment and arrange for repairs or replacements when necessary.
    • Ensure the office environment is clean, organized, and presentable at all times.
  • Reception Duties:
    • Greet and assist visitors, ensuring a positive and professional experience.
    • Answer, screen, and direct phone calls and emails to the appropriate personnel.
    • Handle incoming and outgoing mail and packages, including couriers and deliveries.
  • Human Resources Support:
    • Assist with onboarding new employees, including preparing onboarding materials.
    • Maintain and update employee records, including attendance and leave tracking.
  • Financial Administration:
    • Assist with basic bookkeeping tasks, including processing invoices and purchase orders.
    • Work with the finance department to ensure accurate and timely processing of payments.
  • Communication and Coordination:
    • Serve as a liaison between office staff and management, ensuring effective communication and smooth workflow.
    • Coordinate with vendors, customers, and service providers as required.
Qualifications:
  • High school diploma or equivalent; associate's or bachelor's degree in business administration or a related field preferred.
  • Proven experience as an office administrator, office manager, or in a similar administrative role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Attention to detail and problem-solving skills.
Working Conditions:
  • Full-time position: Monday to Friday during standard business hours.
