SummaryUnder the direction of the Lieutenant for Special Services Division, the Inventory Specialist will assist in ordering, receiving, tagging and recording fixed asset items within the Sheriff’s Office, thus creating a complete, accurate and updated inventory list.  This position will also require the Inventory Specialist to coordinate with members of the Auditor’s Office to achieve a compatible system, usable by members of both the Auditor’s Office and Sheriff’s Office.  This position must have a strong work ethic. The Inventory Specialist must follow directions, meet deadlines, have good attendance, be punctual, demonstrate safety, be reliable, have honesty, integrity, be free from moral turpitude, and have a proper attitude.  The employee must make sound, accurate and timely decisions while taking appropriate risks.  The employee must be an adaptable self-starter. Responsibilities:
  • Maintains care, custody, and inventory control of all property in the possession of the Hays County Sheriff’s Office.
  • Assist the Budget Coordinator in maintaining account records and inventory strategies as directed.
  • Maintains adequate supplies and other support materials.
  • Central distribution point for issuance of property and equipment in the possession of the Hays County Sheriff’s Office.
  • Upon request of Bureau command will perform necessary investigations in procuring the best distributors for needed equipment and supplies.
  • May prepare purchase order requests for approval by the Budget Coordinator.
  • Performs back-up procedures with regard to files Prepares reports and other documentation upon request.
  • Assist the Hays County Purchasing and Audit department in regard to the Transfer and Auction of obsolete and used equipment.
  • Initiates and conducts the Sheriff’s Office annual inventory audit.
  • Maintains records and acts as the coordinator for the Sheriff’s Office Accident Review Board.
  • Requires the employee to be able to render credible testimony in any court proceeding to include Justice Courts, County Courts, District Courts and any U.S. Federal Court.
  • Performs other duties as assigned.
 Knowledge Required:
  • Knowledge of accounting principles.
  • Knowledge of basic bookkeeping or record keeping procedures.
  • Knowledge of basic Law Enforcement protocol (preferred).
 Skills Required:
  • Skill in applying bookkeeping procedures.
  • Skill in operating personal computer and related equipment.
  • Skill in typing at a rate of 50 words per minute (preferred).
  • Skill in use of spreadsheets software.
  • Skill in effective verbal and written communication.
  • Skill in processing large volumes of numerical data.
  • Skill in performing basic mathematical calculations.
  • Skill in classifying fiscal data and compiling reports.
  • Skill in analyzing, preparing, checking and balancing routine fiscal transactions and accounts.
  • Ability to resolve problems or situations requiring the exercise of good judgment.
  • Ability to establish and maintain good working relationships with other county employees and the public.
  • Ability to work independently and with minimal supervision.
 Education and/or Experience:
  • Any combination of experience or training may be substituted on a year for year basis.
  • Graduation from high school or GED.
  • Three years of experience in inventory management or inventory control.
 Other Certificates, Licenses, Registrations:
  • Current Class C Texas Driver’s License
  • Bilingual preferred (Spanish and English)
  Emotional Demands                                                                                                     This position must handle a stress level of dealing with contacts within the general public and Hays County Departments.  The Inventory Specialist meets with contacts in a structured setting at Hays County facilities.   • Frequently read small numbers and type as is usually found on items containing serial numbers.
