Position Overview:
We are seeking a detail-oriented and organized Data Entry & Operations Specialist to join our team in Woburn, MA. In this critical role, you will ensure the accuracy and integrity of key business data, including customer sales orders, vendor invoices, credit card statements, and other financial records. You will also support the smooth operation of business processes, working closely with our CRM (Salesforce) and ERP (Rootstock, QuickBooks) systems.
This role is ideal for someone who thrives on precision, enjoys optimizing workflows, and is passionate about driving operational efficiency.
Key Responsibilities:
Data Entry & Management
  • Accurately enter and maintain customer sales orders, vendor invoices, credit card statements, and expense reports in CRM and ERP systems (Salesforce, Rootstock, QuickBooks).
  • Conduct regular data quality audits to ensure accuracy and consistency across systems.
  • Resolve data discrepancies by liaising with internal teams and external vendors.
  • Maintain well-organized records of all data, adhering to company policies and regulatory requirements.
Operations Support
  • Support sales, procurement, and finance teams with data-driven tasks such as order processing, inventory tracking, and vendor management.
  • Assist with financial reconciliation and reporting processes by ensuring accurate data entry of invoices and payments.
  • Generate operational reports and dashboards in Salesforce and Rootstock to provide actionable insights to stakeholders.
  • Monitor and refine operational workflows to improve efficiency and accuracy.
Quality Assurance & Continuous Improvement
  • Develop and implement processes to maintain the accuracy and reliability of data inputs.
  • Identify recurring issues or bottlenecks in data management or operational processes and propose solutions.
  • Assist with system updates, integrations, and customizations to enhance operational efficiency.

Qualifications:
Experience & Skills
  • Experience: 2+ years in data entry, operations, or a related role.
  • Technical Proficiency: Experience working with CRM and ERP systems, particularly Salesforce, Rootstock, and QuickBooks.
  • Attention to Detail: Ability to accurately process and manage high volumes of data.
  • Analytical Skills: Strong problem-solving abilities and a proactive approach to process improvement.
  • Software Skills: Advanced knowledge of Microsoft Excel and familiarity with other data management tools.
  • Communication: Strong written and verbal communication skills to collaborate across teams effectively.

Education:
  • Bachelor’s degree or equivalent experience in business, operations, accounting, or a related field.

Preferred Knowledge:
  • Familiarity with sales orders, invoice processing, and financial reconciliation workflows.
  • Experience in manufacturing, technology, or similar industries is a plus.
