Contracts Process Management Specialist

Position Highlights:

  • The Contracts Process Management Specialist (“CPMS”) will work collaboratively with the Contracts Management (“CM”) Team to implement, monitor, and facilitate consistent and efficient contracting efforts and processes within the institution.  The CPMS will be responsible for entering, monitoring, managing, analyzing, and auditing the institution’s contractual agreements, and their associated workflows, within the CM System. The CPMS will act as a liaison between the institution’s business partners, internal and external stakeholders, and all interested parties by providing visibility, guidance, and overall support throughout the entire life-cycle of the institution’s contracts (including, but not limited to, contract creation, negotiation, approval, execution, compliance, modification and/or termination). The CPMS will be responsible for creating and maintaining accurate reporting analytics surrounding the institution’s contractual agreements and/or contracting efforts while ensuring the integrity and completeness of the metadata and reportable information memorialized within the CM System.

Responsibilities:

  • Support the CM Team in maintaining a robust and efficient CM Process through the comprehensive review, analysis, and interpretation of contractual terms and conditions contained within the institution’s agreements (including, but not limited to, scope(s) of service, duration, price, warranty, indemnification, potential liabilities, and confidentiality provisions).
  • Aid the CM Team in establishing and encouraging a culture of centralized and uniform contracting efforts by providing procedural and technical support and guidance regarding the CM Process and the CM System enterprise-wide.
  • Facilitate collaborative, consistent, and uniform contracting efforts throughout the institution by adequately identifying and engaging the appropriate subject matter expert(s) for the necessary review and/or negotiation of varying contract types.
  • Assist the CM Team with the implementation of the institution’s new CM System inclusive of active participation in the training of internal and external end-users.
  • Ensure enterprise-wide adherence and compliance with the institution’s contracting efforts in accordance with the Contracts Management and Oversight Policy.
  • Initiate and participate in frequent audits of the CM System to identify, analyze, and subsequently rectify any deficiencies (such as missing or incorrect contract metadata and contract process metrics), to ensure the inclusion of accurate and reliable data within the CM System.
  • Identify and recommend suggested enhancements regarding the CM Process and/CM System to potentially expand and strengthen their use and functionality.
  • Support the contracting efforts of the VP/Deputy General Counsel.
  • Other duties as assigned.
Credentials and Qualifications:

  • Bachelor’s degree** Paralegal, Business or related field;
  • Minimum four (4) years' experience supporting a contract administration and/or project management system for an organization involving contracting, paralegal work, technical writing, or similar experience in a business environment; with demonstrated experience administering and maintaining the daily operations of a contract or project management system, as well as training new users, adding new users, changing user roles and permissions, consulting with users on daily operations of the system, and running reports and audits to identify inefficiencies or needs within the system; and
  • Minimum of three (3) years’ experience working in a legal and/or contracts management environment is required (may be inclusive of other experience).
**"in lieu" of a Bachelor’s degree an Associate’s degree with an additional two (2) years of relevant contracts administration, paralegal and/or legal assistant experience (excluding the required four (4) years’ of minimum experience) for a total of six (6) years’ of experience may be considered.

Preferred:

  • Certified Paralegal (i.e. NALA, ABA)
  • Paralegal Certification or Degree
  • Experience with training and consultation of users of the system, preferably within the public sector and/or higher education.
  • Familiarity with healthcare state laws, rules and regulations pertaining to contracting is also preferred.
  • Working experience in a research quality and regulatory environment including clinical trial conduct, protocol adherence, regulatory submissions, and proficiency with electronic systems used to manage clinical trials data or safety reporting.
  • Familiarity with clinical-related contractual relationships including oncology and/or hematology experience preferred.
