Job Description:   Pipeline TGC is looking for a professional Operations Manager to coordinate and oversee our organization’s operations. This position requires a diverse range of abilities and expertise. You must have the basic abilities to coordinate day-to-day business operations and oversee staff.  You should be ready to mentor team members, find ways to increase the quality of customer service and implement best practices across all levels of Pipeline’s operations. Your organizational skills include procuring material and resources and securing compliance with agency regulations. We will trust you to help us remain compliant, efficient, and profitable during business. 

The Operations Manager is responsible for overseeing the daily operations of the company, ensuring efficient and effective management of Human Resources, payroll, facilities, and maintenance. This role requires a strategic thinker with strong leadership skills and the ability to manage multiple functions to support the overall business objectives.

Key Responsibilities:
Human Resources Management:
  • Develop and implement HR strategies and initiatives aligned with the overall business strategy.
  • Oversee the recruitment and selection process to ensure the company attracts, hires, and retains the best employees.
  • Manage employee relations, including handling grievances and disciplinary actions.
  • Ensure compliance with labor laws and regulations.
  • Oversee performance management and employee development programs.

Payroll Management:
  • Supervise the payroll process to ensure accurate and timely payment of salaries and wages.
  • Ensure compliance with payroll laws and regulations.
  • Manage payroll records and reports, ensuring confidentiality and accuracy.
  • Address and resolve payroll-related issues and discrepancies.

Facilities Management:
  • Oversee the maintenance and upkeep of company facilities to ensure a safe and efficient working environment.
  • Manage facility-related budgets and expenditures.
  • Coordinate with external vendors and service providers for facility maintenance and improvements.
  • Ensure compliance with health and safety regulations.
  • Participates in coordinating and integrating agency operations, technology, social media, and client service efforts that support website development.  

Clerical Management:
  • Communicates and explains new directives and policies or procedures to staff.   
  • Answering phone calls and emails from clients, scheduling appointments, and responding to questions about procedures.  
  • Develop and implement maintenance policies and procedures.
  • Plan and oversee all repair and installation activities.
  • Manages and maintains the clerical, clinical and billing filing systems.  
  • Participate in creating surveys and other metrics that evaluate the effectiveness of Pipelines operations.  
  •  Communicates and explains new directives and policies or procedures to staff. 
  • Train and supervise staff.

Qualifications:
  • Bachelor’s degree in Business Administration, Human Resources, or a related field.
  • Proven experience as an Operations Manager or in a similar role.
  • Strong knowledge of HR practices, payroll management, and facilities maintenance.
  • Excellent leadership and organizational skills.
  • Strong problem-solving abilities and attention to detail.
  • Excellent communication and interpersonal skills.

Working Conditions:
  • Full-time, on-site position.
  • Office environment with occasional travel to company facilities.
  • Prolonged periods sitting at a desk
