IPS Security is looking for a Scheduling Coordinator for our NYC office. The Scheduling Coordinator will be handling heavy phone use to contact employees for schedules by utilizing our employee database. The Scheduling Coordinator will be responsible for updating our online scheduling system, calling multiple sites to check up on personnel, taking messages from employees to relay to management, and administrative work.

Location: New York City, NY

Salary: $62,400 yearly

Weekend availability is needed.

Schedule for in-office: Thursday- Monday: 10:00 am to 6:00 pm

Requirements:
  • Schedule and manage security personnel for various client sites.
  • Communicate with security personnel to ensure proper scheduling and coverage.
  • Maintain accurate records of employee availability and scheduling
  • Work closely with Director of Operations to ensure all schedules are filled prior to show days.
  • Ensure compliance with company policies and procedures.
  • Handle and resolve scheduling conflicts and issues.
  • Monitor and adjust schedules to accommodate changes and emergencies.
  • Utilize scheduling software to optimize efficiency and accuracy.
  • Capable of covering open posts and effectively managing multiple schedules.
  • Ability to maintain accurate routine logs and reports.
  • Able to follow all procedures and protocols consistently.
  • Courteous telephone manner and ability to maintain professional composure at all times.
  • Good interpersonal skills and teamwork, with the ability to interact effectively at various social levels and across diverse cultures.
  • Collaborate with HR and Operations team to address scheduling issues and concerns.
Qualifications:
  • Must have at least one year of previous experience in security scheduling.
  • High School graduate.
  • Must have good decision-making skills.
  • Must have strong communication, organizational and time management skills
  • Must have the ability to work a flexible schedule which is subject to change to include afternoon and night shifts
  • Proficient with scheduling software and tools - WinTeam software experience preferred.
  • Must be able to use a computer, enter basic data, and perform email functions.
