Job Summary:The Executive Assistant provides high-level administrative and technical support to the President & CEO, ensuring the smooth and efficient management of the CEO's office. This role serves as a trusted gatekeeper, maintaining confidentiality and representing the CEO in a professional and positive manner. The Executive Assistant also supports the Board of Directors and the executive management team, while taking on special projects as assigned by the CEO. This role requires a proactive, detail-oriented, and flexible individual with excellent communication and organizational skills.

Key Responsibilities:
  • Administrative Support: Coordinate and manage the CEO’s schedule, ensuring all meetings and appointments are accurately planned with proper follow-up. Prepare meeting materials and arrange logistics as necessary.
  • Document Management: Maintain CEO office files, track tasks and action items, and manage the “To Do” list with a disciplined follow-up system.
  • Communication & Liaison: Review incoming correspondence and phone calls, determining the significance and follow-up actions. Act as a liaison between the CEO, the Board of Directors, and other internal/external stakeholders.
  • Board & Committee Support: Schedule Board and Committee meetings, prepare meeting packets, transcribe minutes, distribute board reports, and maintain Board files and the agency’s master policy list.
  • Travel & Itinerary Planning: Prepare travel schedules and arrangements for the CEO and other executives, ensuring options and itineraries are timely and well-coordinated.
  • Project Coordination: Research projects, compile data, and prepare reports to support agency practices, policies, and budgeting. Support special projects as assigned.
  • Confidentiality & Discretion: Maintain complete confidentiality of all agency and CEO-related information. Handle sensitive matters with discretion.
  • Office Management: Prioritize and manage the office’s administrative functions during the CEO’s absence, ensuring timely and complete updates to the Executive in Charge.
  • Support to Executive Management Team: Provide administrative support to the Executive and Management Teams as approved by the CEO. Coordinate with various departments on special projects.
  • Professional Representation: Represent the CEO’s office in a highly professional manner, both in-person and on the phone.
Qualifications:
  • Education & Experience: College-level courses with 5-10 years of experience in an administrative role, supporting senior executives.
  • Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Visio, Outlook) and ability to type 50-60 WPM.
  • Communication Skills: Strong command of the English language, with excellent verbal and written communication skills. Ability to proofread and edit documents with a keen attention to detail.
  • Organizational Skills: Excellent organizational, time management, and prioritization skills. Ability to multi-task and adapt in a fast-paced environment.
  • Interpersonal Skills: Ability to work well with all levels of management and staff, Board of Directors, as well as external clients and vendors.
  • Confidentiality: Demonstrated ability to maintain the confidentiality of sensitive information and handle issues with discretion.
  • Flexibility: Availability for some local travel and the flexibility to work early mornings or late evenings to accommodate the CEO’s varied schedule.
Physical Requirements:
  • Frequently remains stationary and occasionally traverses locations.
  • Constantly operates equipment, computers, or tools.
  • Occasionally extends body, arms, or hands as needed to perform essential duties.
  • Frequently communicates and exchanges information accurately.
  • Constantly perceives objects over moderate or long distances, with or without accommodation.
  • Frequently moves, transports, and positions objects weighing up to 25 pounds.
Additional Requirements:
  • Must pass a background check and post-offer drug test.
  • Availability for some local travel and occasional weekend or evening work required.
