Responsibilities

  • Answers a high volume of calls and emails and communicates relevant information to the appropriate parties.
  • Provides information to callers, relays messages, and announces visitors.
  • Assists with faxing, copying, mailing/distribution, etc.
  • Schedules and confirms meetings.
  • Handles and coordinates active calendars.
  • Ensures file organization based on office protocol.
  • Maintains an inventory of the supply room and places office supply orders accordingly.
  • Completes other administrative duties, as needed, such as data entry, paperwork, photocopying, etc.
  • Assists in administrative projects and overflow work from different departments.
  • Performs other duties or special projects as required.


Qualifications

  • Must be bilingual (English and Spanish)
  • The preferred candidate will have a minimum of 1 year of experience.
  • Associate's/Bachelor's degree (Preferred)
  • Strong verbal and written communication skills.
  • Exceptional organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Demonstrates proactive approaches to problem-solving with strong decision-making capability.
  • Ability to react with the appropriate level of urgency to situations and events that require quick response or turnaround.
  • Highly resourceful team player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment
