SUMMARY: The Corporate Events Support Specialist supports the Director of Corporate Events in the planning and execution of company trade shows, appraisal events, and annual employee art showcase responsibilities. This role involves administrative support, logistics coordination, and communication with various departments within the company to ensure the smooth operation of all events.

ESSENTIAL DUTIES & RESPONSIBILITIES:
Trade Shows Support:
- Application & Payment Processing: Assist with processing applications, registrations, and payments.
- Budget Tracking: Help track expenses and prepare reports for trade show budgets.
- Supplies Coordination: Assist in ordering and managing trade show supplies and fixtures.
- Shipping Logistics: Coordinate the timely shipment and delivery of trade show materials.
- Marketing Content Preparation: Support the preparation and approval process of trade show promotional content.
- Website Updates: Assist in updating trade show information on the company website.
- Marketing Materials Inventory: Help manage the inventory and reprinting of marketing collateral.
- Material Maintenance: Ensure trade show materials like tablecloths and banners are in good condition.
- Data Reporting: Assist in monitoring trade show costs and ROI.
Appraisal Events Support:
- Calendar Management: Help manage the appraisal events calendar.
- Staffing Arrangements: Assist in organizing staffing for events.
- Supply Management: Support the ordering and overseeing of supplies for events.
- Shipping Coordination: Help manage shipping logistics for appraisal consignments.
- Catering Coordination: Assist in arranging catering for events.
- Travel Arrangements: Help with staff travel accommodation arrangements.
- On-Site Training: Assist in providing initial training for event staff.
- Consignment Management: Support the logging and handling of consignment items.
- Information Processing: Assist in maintaining accurate records with the data team.
- Promotional Material Support: Help oversee the approval process for promotional materials.
- Website Coordination: Assist in posting event details on relevant websites.
- Material Maintenance: Ensure event materials are maintained in good condition.
- Data Reporting: Help track costs and ROI for events.
Annual Employee Art Showcase Support:
- Communication Support: Assist in the publication of deadlines and requirements.
- Participant Management: Support participant recruitment and engagement efforts.
- Entry Management: Help log and tag entries for the showcase.
- Showcase Setup: Assist in coordinating setup with gallery staff.
- Schedule Coordination: Help arrange schedules for jurors and receptions.
- Ballots Creation: Assist in creating and distributing voting ballots.
- Awards Coordination: Support the management of awards in coordination with HR.
- Announcement Assistance: Help announce the winner’s company-wide.
- Event Attendance: Attend meetings and luncheons as needed.
EDUCATION and/or EXPERIENCE:
- 1+ years of related experience, preferred
- Interest in Fine and Decorative Arts
- Proficiency in Microsoft applications, specifically Outlook and Excel
- Ability to multitask and pay great attention to detail
- Individuals must be comfortable lifting to 50 pounds.
