Full job description

The ideal candidate for this position understands the magic an Executive Assistant can do. They know the relationship between EA and Executive is what makes this magic possible, and that this relationship takes time to grow, fostering trust and respect.

The Executive Assistant will report directly to the Chief of Staff and help manage the day-to-day operations of both the Chief Medical Officer and President, ensuring smooth workflow and assisting in decision-making processes. You will manage the Executives’ schedules and communications and perform various administrative tasks that help them accomplish their job.


Executive Assistant to the CMO/President Responsibilities

  • Act as an extension of the CMO and President between company staff and professional introductions to help build and maintain strong relationships.
  • Assist the CMO and President in problem-solving, decision-making, and prioritizing tasks. Be the “white board” for the executive to be able to bounce ideas back and forth with.
  • Attend meetings, take notes, and distill down the key takeaways, action items, and follow-ups for the CMO and President -insuring action items are completed in a timely manner.
  • Enter and manage tasks in Jira on behalf of the CMO and President.
  • Handle incoming and outgoing communication on behalf of the CMO and President, including placing phone calls, drafting emails, managing the email inbox, and other inquiries.
  • Prepare reports or presentations and provide recommendations or alternative solutions to help inform decision-making and strategic planning.
  • Provide general administrative support to the CMO and President, such as booking flights, accommodations, transportation, and managing travel itineraries.
  • Organize and maintain electronic documents, files, and records, ensuring information is accurate, up-to-date, and easily accessible.
  • Be the gatekeeper of the calendar, including scheduling, rescheduling, and prioritizing appointments and meetings.

Requirements


  • 5+ years of experience in a high-level Executive Assistant role
  • Bachelor's degree preferred 
  • Proficient in Microsoft Office and Google Suite applications
  • Exceptional ability to think outside of the box and propose potential solutions.
  • Strong organizational and multitasking skills
  • Excellent English verbal, written, and interpersonal communication skills
  • Maintain high discretion and confidentiality regarding sensitive information
  • Ability to work independently and proactively in a remote work environment
  • Outstanding attention to detail, especially regarding managing calendars prioritizing availability.
  • Resilience to navigate competing priorities and constant change

Job Type: Full-time

Pay: 80,000
