Job DescriptionJob DescriptionThe Neighborhood Health Services Corporation Site Administrator, Elizabeth works under the direct supervision of the Vice-President/Chief Operating Officer. The Elizabeth Site Administrator shall be responsible for the practice site business and clinical functions including Front Desk, Medical Records, Nursing, and ancillary services to ensure a safe and compassionate experience for our patients and their families as well as a supportive and productive practice environment for our providers and staff. In addition, the Elizabeth Site Administrator shall be responsible for Financial Screening Services, Facilities Management Services, Community and Governmental Relations and Special Projects. The Nursing and medical assistants will have a dotted reporting line to the Director of Clinical Services for clinical compliance.
 ESSENTIAL FUNCTIONS and PRINCIPAL ACCOUNTABILITIES: 
  1.  Administrative Management Services
 
    • Manage daily operations of the Neighborhood Health Center Elizabeth.
    • Assist in the provision of technical assistance and IT support
    • Develop EHR Super User capabilities
 
  1. Business Support Services
 
    • Identify and/or evaluate Cost Reduction and/or Avoidance Programs
    • Develop, evaluate and/or implement Cost Reduction Procedures
    • Identify RFP's & funding opportunities as related to the Elizabeth facility and operations in collaboration with the CEO and COO.
 
  1. Facilities Management Services
Coordinate with Director of Facilities to ensure the following:
 Building and Grounds
    • Assessment and Management of Building Maintenance Staff and Security; Tracking and reporting of needed central supplies. Evaluation of Facilities and Security Services and coordination with Vendors Providing Services to ensure timely and appropriate provision of such services.
 Facilities Improvement Capital
    • Develop and Maintain Facilities Improvement Capital Plan (Furniture and Equipment)
    • Develop Annual Facilities Improvement Capital Budget and Needs Projections.
 Safety and Security
    • In conjunction with Director of Facilities, conduct annual Fire Safety Drills.
    • Communicate with Landlord to ensure appropriate building Safety Standards are met.
    • Investigate and/or Remedy Unsafe Conditions and/or Building Incidents and Accidents.
    • Report on all Incident Reports immediately and monthly to the Safety Committee.
    • Coordinate Courier Service with the Revenue Cycle department for the safe collection and transportation of co-pays.
    • Community & Governmental Relations
    • Outreach and Involvement
      • Identify and/or Interact with Community Groups, Neighborhood Associations, Church and Civic Organizations
      • Develop and/or Participate in Mutually Beneficial Programs
      • Solicit and Host Community Group Meetings
      • Evaluate and/or Support Mutually Beneficial Community Initiatives and Programs in collaboration with COO.
    • Legislative Liaisons
      • Interface with Local and State Elected and/or Appointed Officials
      • Assess, Develop and/or Provide Support for Beneficial Legislative Initiatives, in collaboration with COO.
    • Special Projects
    • Undertake Special Projects and Assignments as Directed by CEO or COO. Prepare and Make Special Presentations to Board of Directors and others when appropriate and specific to Elizabeth.
       
    • REPRESENTATION
      • Communicates and promotes the organization's mission and goals, internally and externally.
      • Conveys a professional and positive image and attitude regarding the health center site and the corporation.
      • Understands and assures compliance and reporting with all applicable federal, state and local laws, regulations and special conditions including JCAHO and HIPAA.
      • Solicits political and community support for the organization specific to Elizabeth.
    •  CLINICAL COORDINATION
      • Oversee the Nursing Staff and Certified Medical Assistants as it pertains to operational workflow. The Director of Clinical Services will provide clinical supervision and oversight for all nursing and certified medical assistants.
      • The Site Administrator, in conjunction with the Director of Revenue Cycle shall conduct patient satisfaction surveys and actively work to improve patient flow and patient satisfaction.
