Job Summary

Responsible for scheduling patient appointments, answering general questions, maintaining patient records, and communicating with Referring Providers and other medical professionals. Provides quality customer service in a friendly, efficient, and professional manner, serving as the initial contact for patients contacting scheduling.

Essential Job Functions

  • Properly schedule patients for diagnostic imaging procedures for multiple imaging centers and maintain the imaging schedule.
  • Fill cancellations and openings in the schedule daily as needed and reschedule patients based on their medical and/or financial needs.
  • Ensure accurate and detailed information in patient charts, including demographics of patients and Referring Providers into the RIS.
  • Confirm with Referring Provider the specifics of the orders, diagnosis, and any information needed for authorization.
  • Process all documents received in the central Scheduling Department via fax, email, and phone.
  • Answer multiple phone lines in a courteous and timely manner, demonstrating excellent phone etiquette and voice clarity.
  • Provide the utmost professional interaction and communication with and between the patient/family, center staff, Referring Providers/staff, and radiologists.
  • Maintain a neat and organized work area.
  • Participate in meetings and complete other tasks as assigned by management.

Educational and Skills Requirements

  • High School Diploma or equivalent with a minimum of one (1) year of customer service-related work in the medical field.
  • Knowledge of medical terminology and diagnostic radiological procedures in an outpatient setting.
  • Proficient in the use of office computer systems including Microsoft Office and RIS.
  • Ability to multi-task and remain detailed and organized.
  • Ability to communicate and respond to questions, assisting patients, Referring Providers, and clinical staff in a professional manner.
  • Bilingual English-Spanish preferred.
  • Ability to hold all information concerning patients in strict confidence and abide by the Health Insurance Portability and Accountability Act (HIPAA) regulations.

Physical Demands and Work Environment

  • The work is performed in a medical office setting with moderate noise level.
  • This job occasionally requires the employee to stand, walk, sit, use hands, climb stairs, balance, stoop, kneel, read, talk, or hear.
  • The employee must lift and/or move up to 25 pounds.
  • Specific vision abilities include close vision and the ability to adjust focus.
  • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • The employee should never attempt to lift more than 25 pounds.
