In this newly created position, you will act as a right-hand to our CEO and CFO to optimize their time and enable them to focus on advancing the company’s critical strategic goals and initiatives. You will filter requests and attend to supporting various day-to-day activities that are part of the executive’s role.

Key Responsibilities:

  • Time and calendar management: Manage executives’ calendar and appointment scheduling to ensure optimal time management. Serve as the primary point of contact for stakeholders seeking interaction with the CEO to help him to prioritize manage his time effectively.
  • Prepare Materials: Prepare and organize materials for meetings, including creating and polishing board-level PowerPoint presentations, agendas, and documents.
  • Enhance Efficiency: Assist the CEO in prioritizing daily tasks, managing communications, and implementing processes to streamline administrative functions.
  • Meeting Management: Coordinate and manage meetings with stakeholders, ensuring clear agenda, goals, and desired outcomes are established, gathering necessary documents and attending to meeting logistics.
  • Communications: Draft, review and send communications on behalf of CEO. Prioritize emails and respond as appropriate. Answer and respond to phone calls and communicate messages and information in a timely manner to executive.
  • Manage Executive Travel: Arrange complex international and domestic travel itineraries, ensuring seamless travel experiences. Manage expense reporting in an accurate and timely manner.
  • Coordinate Projects: Monitor progress on key initiatives, providing updates and highlighting urgent tasks.
  • Organize Visits and Events: Create a hospitable environment for VIPs, customers, and guests visiting the CEO.
  • Support for CFO: Provide administrative support to the CFO as needed and assist in coordinating tasks related to the CFO’s responsibilities.

Qualifications:

  • Minimum of 7 years of experience supporting C-level executives, preferably a CEO with international responsibility
  • Proven track record of improving executive efficiency and effectiveness.
  • Exceptional organizational, multi-tasking and time-management skills.
  • Demonstrated strong written and verbal communication and excellent interpersonal skills at all levels from executive to manufacturing floor employees.
  • High attention to detail.
  • Proficiency in Microsoft Office Suite, particularly PowerPoint, Outlook and Excel.
  • Strong problem-solving skills and ability to anticipate needs.
  • Project management experience is highly desirable.
  • Discretion and confidentiality in handling sensitive information.
  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
