Position Overview:

We are seeking a highly organized and proactive Executive Assistant to support our CEO and ensure the seamless operation of our office. The ideal candidate will be a detail-oriented professional who excels in managing calendars, coordinating travel, and maintaining accurate sales and customer data. If you thrive in a fast-paced environment and enjoy taking on diverse responsibilities while working with a supportive team, this role is perfect for you.


Key Responsibilities:

  • Right Hand to CEO: Provide high-level administrative support to the CEO, including managing daily schedules, coordinating meetings, and handling correspondence with precision and discretion.
  • Precise Calendar and Email Management: Maintain and organize the CEO's calendar, schedule meetings, and ensure that all email communications are handled efficiently and professionally.
  • Travel Planning: Arrange domestic and international travel, including flights, accommodations, and itineraries, ensuring all logistics are managed smoothly and cost-effectively.
  • HubSpot Management: Utilize HubSpot to input and verify new sales and customer data, ensuring accuracy and completeness. Follow up on quotes and leads to support the sales team’s efforts.
  • Customer Quoting: Create and manage customer quotes, ensuring timely and accurate documentation that meets customer needs and company standards.
  • Service Desk Backup: Serve as a backup to the Service Desk Manager, including monitoring support queues, creating tickets for Help Desk Staff, and ensuring customer equipment is shipped and received appropriately. Follow all internal processes to guarantee smooth operations.
  • Assist with purchasing of customer equipment and provisioning to internal team to prep for customer
  • Operational Support: Assist in various administrative tasks and projects as needed to support the CEO and ensure the efficient running of the office.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Exceptional organizational and time-management skills with the ability to handle multiple priorities.
  • Proficiency in Microsoft Office Suite and familiarity with HubSpot or similar CRM software.
  • Strong communication skills, both written and verbal, with a keen eye for detail.
  • Ability to work independently as well as collaboratively within a close-knit team.
  • Flexibility to adapt to changing priorities and tackle diverse responsibilities.
