Job Summary:

At the direction of management, the Human Resources Assistant will engage in all matters of the Human Resources Department. The Human Resources Assistant focuses heavily on event coordination, customer service, special projects, and administrative support. Essential Functions and Responsibilities:

  • Conduct new employee onboarding and orientation ensuring the process is welcoming, engaging, effective, and productive.
  • Process and manage new employee paperwork such as I-9, tax forms, agreements, and state specific paperwork.
  • Manage inventory, orders, online company store, and distribution of company uniforms, apparel items, company gifts, and office supplies.
  • Update and maintain employee files pertaining to personnel, medical, training, and other documentation related to employee records in compliance with state requirements.
  • Assist with creation and distribution of email communications, social media posts, and infographics pertaining to employee education on critical information such as company updates, benefits, recruiting, events, promotions, policies, or other relevant information.
  • Assist with recruitment process and efforts by scheduling interviews, conducting phone or in-person interviews, candidate communication, and attending career fairs.
  • Assist in organizing and facilitating company events including summer outings, blood drives, scholarship awards, employee celebrations, and other employee engagement initiatives.
  • Assist with employee inquiries via email, phone, or in-person in a timely manner.
  • Assist in social media content creation and posting.
  • Assist with roll-out, completion, and management of required training using various platforms.
  • Assist with setting up signature electronic forms in various platforms.
  • Responsible for front desk receptionist duties including visitor management, customer service, and handling payments.
  • Preparing and management of employee, contractor, and visitor badges.
  • Responsible for in-bound and out-bond mail organization, distribution, and compliance.
  • Responsible for creating, publishing, and distributing the monthly company newsletter.
  • Record business purchases and expenses in compliance with accounting requirements.
  • Handle sensitive information with care and discretion to maintain confidentiality.
  • Complete special projects in a timely manner based on organizational and department needs.

  • Must be punctual and adhere to attendance standards.

Education/Experience:

  • High school diploma or equivalent is required.
  • Bachelor’s degree in Human Resources or other related fields is required.
  • 1-2 years of experience in an administrative role in HR or related field is highly preferred.


Knowledge/Skills/Abilities:

  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills to build rapport and maintain relationships with customers and employees.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Understanding of human resources principles, procedures, and best practices.
  • Critical thinking and problem-solving skills.
  • Adaptability to learn new HR-related software and tolls quickly.
  • Proficiency in Microsoft Office Suite, email, and other communication tools.
  • Proficiency with social media, professional networks, and computer skills.
  • Ability to work independently and part of a team.

 

Licenses/Certifications:

  • Must be able to obtain a Permanent Employee Registration Card from the State of Illinois Department of Financial and Professional Regulation.
  • Valid driver’s license and maintain an insurable driving record.
  • Must have or be willing to obtain SHRM CP or HRCI PHR certifications.
