Assists the Director of Catering by accurately and efficiently performing various office duties to administer the Sales and Catering function.

Essential Job Functions

Type various forms of documentation such as contracts, memos, letters, and proposals. Courteously and professionally answer telephone inquiries and take detailed messages. Courteously greet clients and quickly respond to their requests. Maintain accurate catering files for follow-up and future reference. Type Banquet Event Orders (BEOs) and distribute them to the appropriate department. Coordinate and print reader boards daily. Send Thank-you cards immediately upon completion of the function and promotional material to clients upon request. Assist with the design and accurate preparation of statistical reports as needed. Act as a receptionist for the manager and, when necessary, other department members, providing courteous and professional assistance to callers as required. Produce and distribute correspondence from written copy, or when needed, use dictating equipment. Assist managers in the preparation of various reports and presentations. Accurately compose, produce, and sign correspondence on routine matters.  With specific permission, sign for Managers and release.

Job Requirements

Able to communicate effectively in verbal and written form with guests and associates to respond accurately and entirely to people to give directions, instructions, and information, answer questions, and provide service as required. Demonstrate excellent communication skills, verbal and written, while listening to clients. Use arithmetic for designing contracts. Twist, bend, and sit to type on a typewriter and computer. Know all the facets of the hotel to relay accurate information to clients. Reach out and handle the sorting and distribution of mail and messages.
