The purpose of this position is to support the demands for growth in Las Vegas. This position will assist in the implementation of multiple projects to safeguard the Fund assets and establish key internal controls. This position is also responsible for all aspects of the monthly accounting close process for assigned entities/plans including variance analysis and financial reporting.

ESSENTIAL JOB FUNCTIONS AND DUTIES

  • Process invoices timely for all Las Vegas entities which includes Culinary Health Fund (UHH-LV) and other Plans, Culinary Health Fund Administration Services LLC, Nevada Health Solutions LLC, Neighborhood Health Center LLC, St Louis Square Inc, and Nellis Stewart Inc.
  • Review invoices received to determine and allocate to the appropriate Fund entity
  • Key invoices in Accounts Payable system using proper GL expense coding and assign to appropriate approver level
  • Matches applicable invoices to Purchase Orders (PO), packing slips and/or pre-approval forms
  • Download invoices from various vendor websites/portals
  • Daily monitoring of accounting email inboxes and physical mail and process all invoices received electronically
  • Tracks invoices received and processed and reports on recurring invoices not received by certain dates
  • Responds to both internal and external inquiries from vendors as appropriate, and fund associates.
  • Creates PO’s in accordance with policies and procedures as needed
  • Performs 1099 maintenance
  • Requests and verifies banking information, W9s and other documentation needed from vendors before submitting to appropriate user for new vendor creation and/or vendor maintenance
  • Coordinates with Executive Assistant and department Managers on monthly credit card charges, ensuring all approvals and receipts are submitted by the monthly deadline
  • Reconciles monthly statement and requests missing invoices as needed
  • Work with department Managers to ensure correct entities are being billed
  • Provides remittance and payment information to vendors for proper payment application as requested
  • Consults with various departmental staff on vendor matters as needed
  • Provides support for annual budgeting process

ESSENTIAL QUALIFICATIONS

Years of Experience and Knowledge

  • 1 ~ 2 years of related experience minimum
  • Experience with accounting software including Yooz and Sage Intacct a plus
  • Experience with reconciliation and data entry

Education, Licenses, and Certifications

  • High school diploma and equivalent work experience required

Skills and Abilities

  • Intermediate level Microsoft Office skills (PowerPoint, Word, Outlook)
  • Intermediate level Microsoft Excel skills
  • Be detail oriented and work well within a team environment
  • Manage competing tasks, deadlines and multiple projects in a fast-paced environment

Hourly range for this position: $22.35~$27.38. Actual hourly rate may vary based upon, but not limited to: relevant experience, qualifications, expertise, certifications, licenses, education or equivalent work experience, time in role, peer and market data, prior performance, business sector, and geographic location.

Work Schedule (may vary to meet business needs): Monday~Friday, 7.5 hours per day (37.5 hours per week) on a hybrid work-from-home arrangement.
