Education & Experience

  • Facility Administrator, or equivalent experience (10 plus years) in Facilities, or related industries as relates to procurement, service contract administration, data entry, supply and equipment ordering and delivery, product research, staff and vendor coordination and communications, end-to-end-handling of the budget requisition process.
  • Must have understanding of financial guidelines policies and procedures, industry-relevant procurement and policies and procedures as well as correct documentation and paperwork handling for the end-to-end invoice processing.
  • Excellent computer, organization, note taking and communication skills.
  • Experience developing and implementing comprehensive office systems, work flows and organizational strategies that support prompt, excellent customer service with measurable outcomes.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Performs a combination, but not necessarily all, of the following duties:

  • Assist the Chief Administrative Officer and other staff in all aspects of department work as assigned.
  • Ensures the correct implementation of contracting, procurement and budget policy, including finance and department staff as assigned.
  • Participates in the development and implementation of same day service request acknowledgements, including timely, solution oriented, follow-ups to end user and elevation urgent or complex issues to the Chief Administrative Officer, to assure prompt and courteous handling of all service and supply related requests.
  • End-to-end responsibility supported by thorough record keeping for; ordering, delivery and installations, requisition submittal and payment requests, tracking, expediting and delivery of orders, as assigned.
  • Prepared Request for Quote (RFQ) for parts or vendor services, furniture, including review of scope of work and related payment submittals as assigned.
  • Participate with Facilities Management in setting up, maintaining, and organizing department’s files, contact, information and communications.
  • Support Facilities & Maintenance Manager is the organization of their expenses and receipts.
  • Participate in departmental meetings to support and facilitate communication and action within the department and the agency.
  • Provide training to others, as assigned.
  • Creates and supports a safe work environment.
  • Other duties may be assigned or may be modified as business needs dictate.
