The Day-to-Day for our Client:
- Provide specialized secretarial and executive level administrative support to perform a full range of support functions to support the Client’s (DoD) senior leadership.
- Interaction with DoD General Officers, Senior Executive Services (or equivalent) and industry executives regarding a myriad of matters
- Familiar with military customs and courtesies, have strong oral and written communication skills, have experience with support headquarters personnel and understand the government process, specifically the Air Force.
- Plan, Coordinate, and Organize Events.
- Secure facilities (on site and off site) prior to event by coordinating with the conference room coordinator or applicable office/agency.
- Submit all presentations in requested format by supported staff within the prescribed time frame.
- Review correspondence requiring the Director’s (or designee’s) signature for correctness, conformance to procedural and regulatory instructions, as well as perform quality checks for grammar, typographical errors, and necessary attachments.
- Properly monitor and track correspondence as required to ensure that all assigned suspense requirements are met.
- Perform quality control reviews of reports and documents, ensuring high quality correspondence.
- Develop, review, assess and implement strategic communication plans.
- Strategic communication functions include, but are not limited to, preparing and providing speeches, papers and briefings for CIO leadership, to include Director(s), and providing professional speech writing for executive leadership to effectively speak and present at public events.
- Serve as a liaison with internal and external organizations to include, but not limited to, SAF/PA, OSD, Joint Staff, Inter-Agency, DAF, Industry, non-governmental organizations and academia.
- Some liaison functions will include, but are not limited to, coordination and planning of speaking engagements, or social events, for executive leadership, to include Director(s); congressional testimony preparation; posture preparation events; and any other activities requiring coordination and planning between external organizations.
- Prepare and assist Directors and Deputy Directors in correspondence activities with external organizations, or support their executive officers
- Distribute correspondence to all individuals in accordance with approved guidelines and processes.
- Search and retrieve documents from databases and files as requested and provide limited research to assigned staff as necessary.
- Draft meeting minutes, distribute meeting documents and post meeting minutes, as necessary to participants.
- Maintain assigned files and record systems in accordance to approved guidelines.
- Setting up Video Tele Conferences (VTC),
- Organize and conduct high- level ceremonies including award ceremonies, promotions and retirements.
- Maintain and track daily work schedule and responsibilities for headquarters leadership (General Officers and/or Senior Executives)
- Assist with Government Travel Requests
Required Experience:
- ACTIVE Secret Clearance
- Must have at a minimum, an Associate’s degreeand three (3) years of experience working on DoD Headquarters or Federal Government Headquarters staff level, performing the tasks listed.
- Must be a self-starter and motivated to learn.
- Must have communications skills and be prepared to work in a fast-pacedenvironment supporting the most senior leaders in the Air and Space Force.
- Must be able to work independently
- Experience with social media content drafts, edits, schedules
- Experience with the Defense Travel System (DTS). Assist with the management of DTS for the organization and use DTS as trained and directed to accomplish travel authorizations and vouchers.
- Experience with the Task Management Tool (TMT). Manage the organization’s TMT (or other task management system) using the format outlined in the organization’s operating instructions and TMT training and instructions.
